NorthStar Memorial Group is seeking a Clerical & Admin Specialist at Restland Funeral Home & Cemetery in Dallas, TX. Our administrative teams assume the crucial role of ensuring seamless operations throughout every stage of the delicate client family life cycle, from the initial meeting with families, until final arrangements are made. We serve as the cornerstone of our client family support structure, acting as the glue that holds everything together. Responsibilities
Obtains Death Certificates and Burial Permits, and Burial Permit Refiles Processes Pre-Need and At-Need Funeral and Cemetery Contracts Prepares periodic reports and/or simple financial analysis Provides problem resolution to client-families with past due accounts Set up automatic debit payments and recurring credit card payments Processes deliveries in HMIS Reviews and processes orders for markers, including assisting with design, reviewing orders for compliance with cemetery rules and regulations, obtaining bids, coordinating with vendors, verifying invoices, and receiving deliveries Assists with quarterly inventories, as required Reviews, and processes interment paperwork. Checks for accuracy of information and ensures compliance with state, local, NorthStar, and location rules, regulations, and requirements. May also be tasked with any of the following duties or responsibilities at management’s discretion: Creates, Updates and Files Interment Cards, Owner Cards, and Property Cards • Creates Deeds and PIF letters for signature Processes outgoing mail General filing and organization of records Maintains Master files (e.g. creating/providing copies, merging/duplicating, keeping track, and scanning master files into HMIS.) Ensures client privacy is maintained, and redaction is completed per PCI Standards Updates Cemetery Master Maps Provides files to the Funeral Home and Cemetery for arrangements Assists sales, funeral service, maintenance and administration as needed Greets family members and friends Operates a telephone system handling a large call volume Schedules appointments with families Maintains location staff schedules Receives and/or processes payments Drafts correspondence Schedules and completes travel arrangements Attends and serves client families in funeral and visitation situations Ensures that all invoices are double checked for accuracy and coded before being forwarded to the accounts payable department Assists with the preparation and ordering of materials needed by leadership such as park brochures, business cards, name badges, training materials, etc. Processes check requests, write-offs, and refunds Participates in location events Other duties and responsibilities as assigned by manager Effective organizational skillsCompetencies
