Are you efficient and detail oriented? Effectively handle administrative tasks so our department runs smoothly and we can provide patients with the best possible care.

 

What you’ll do

 

·         Transcribe a variety of medical dictation, including correspondence and reports to Court and Review Board by typing material from Dictaphone or handwritten notes and editing output for accuracy. Enter data into typing log in order to track completed reports.

·         Provide reception services by operating a multi-line reception switchboard, ascertaining nature of business, responding to inquiries, taking/relaying messages and/or redirecting callers to appropriate personnel, providing basic information, greeting and responding to all clients and visitors arriving at the clinic, and directing and notifying the appropriate staff of their presence.

·         Process referrals and enter client data into computer systems, databases and other software programs.

·         Maintain client charts by creating clinical records and ensuring material is labeled with patient information; monitoring documents for completeness, signature and dates; returning outstanding items to appropriate staff members; filing documents into relevant sections; replacing or repairing old/damaged charts; completing the clinical record upon discharge; and ensuring all records are assembled.

·         Coordinate and prepare client charts for off-site storage. Initiate retrieval requests and organize the return of records to storage.

·         Maintain schedules and perform event and program tracking by logging into and reviewing electronic calendars/schedules, monitoring upcoming deadlines and appointment dates including court assessments and Review Board, and providing reminders to staff as appropriate.

·         Type a variety of non-technical material such as general correspondence, forms, lists, memorandums, and notes from handwritten draft or Dictaphone by utilizing word processing software and distributing material as required.

·         Arrange meetings by booking meeting rooms, typing and circulating notices and agendas. Record, transcribe, and distribute meeting minutes.

·         Maintain supplies and arrange for repair and maintenance of office equipment and furniture.

 

What you bring

 

·         Grade 12 graduation

·         Graduation from an approved program in Medical Transcription

·         One (1) year of recent, related experience, or an equivalent combination of education, training and experience.

 

You have the ability to:

 

·         Keyboard at least 60 wpm

·         Communicate effectively, both verbally and in writing

·         Deal with others effectively

·         Physically carry out the duties of the position

·         Organize work.

·         Operate related equipment
