We currently have an exciting Full-Time opportunity for a Clerical Support Associate to join our Schulich Family Medicine Teaching Unit (FMTU) team
Employment Status: Permanent Full Time
Hours of Work: Must be available for 8 hour shifts, days, evenings (subject to change)
Location: Humber River Health, Willson Site
Labour Group: NOWU Clerical
Reporting Relationship: Manager, Schulich Family Medicine Teaching Unit and Integrated Care Services
Hourly Rate: $29.111 - $30.131
Responsibilities:
Responsible for clerical support including patient registration in Schulich FMTU electronic medical record (EMR) and in Meditech and the maintenance of patient recordsCall potential new patients and book intake appointments and create patient profiles in EMRBooks follow-up appointments as per protocol or as directed by Interprofessional team membersPrepare day lists and patient encounter forms for the next day’s clinicGreet patients upon arrival, register, confirm all relevant details (i.e., health card number, address, etc.)Escort patients through clinical space and assist with patient preparation for visits, as neededMaintains privacy and confidentiality of the patients and the whole teamAnswer telephone calls, refer urgent calls to the appropriate team memberScreen, prioritize and process patient requests for appointments, deferring to members of the Interprofessional Team, as neededManage patient flow to optimize efficiency of the Interprofessional team members’ timeReceive and send faxes, scanning of documents to correct member of the Interprofessional team, following up on urgent requestsProvide information over the phone to patients as appropriate and take message to pass on to the Interprofessional team membersInteract with other hospital departments, laboratories and external medical institutions on behalf of patients and team members (i.e., follow-up on referral appointments, repeat prescriptions, etc.)Provide general clinical administration support using Microsoft Word applications etc.Order and restock supplies and equipmentCollects and maintains accurate statistical data as required/requestedAssist with other duties assignRequirements:
Must be a high school graduate or equivalent
Knowledge of medical terminology is required
Completion of a Community College Medical Secretary or Business Administrative Diploma preferred.
Minimum 2 years full time equivalent recent and relevant clerical experience in a busy clinical environment required.
Previous experience in a primary care provider setting or academic is an asset.
Good keyboarding skills with minimum typing speed of 40 WPM (the ability to perform medical transcription is preferred).
MEDITECH computer experience an asset.
Experience with EMRs (i.e., OSCAR, Telus PCC) used in primary care setting an asset
Demonstrated computer proficiency including Microsoft Office (Excel)
Exceptional communication skills, both oral and written.
Ability to effectively interact with professionals of various disciplines as well as with patients and families, and effectively respond to concerns that arise.
Excellent organizational skills, problem-solving skills and detail orientated.
Effectively able to re-establish priorities, as needed.
Demonstrated ability to cope with tight deadlines, frequent interruptions and emergency situations.
Ability to work in a multidisciplinary setting including medical residents and learners.
Ability to work autonomously as well as in a team setting.
Knowledge of a second language an asset.
Proven ability to provide excellent customer service, on the telephone and in person.
Applicant may be required to successfully complete full administrative testing, to include typing speed and MS Office.
Excellent attendance and discipline free record required.
