Hourly Pay Range (Minimum - Midpoint - Maximum):

$29.410 - $36.760 - $44.110


The stated pay scale reflects the range that Sharp reasonably expects to pay for this position.  The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.



What You Will Do
Provides support for the System Services Clinical Effectiveness Division. Handles assignments of a highly responsible and confidential nature. Works independently under general instructions on a wide variety of routine and special projects. Positively supports Clinical Effectiveness leaders, collaborates with other Clinical Effectiveness administrative support staff and fosters harmonious external and internal working relationships. Provides support for special events with various start/end times, as needed.

Required Qualifications

H.S. Diploma or Equivalent2 Years experience in as an administrative assistant or department/program coordinator role.Experience producing program documents (i.e. newsletters, flyers, event collateral, etc.).


Preferred Qualifications

Other : College-level coursework.Experience maintaining websites and using a content management system.


Essential Functions

Administrative duties
Maintains organized and orderly workspace including the shared workspace and store rooms.
Orders supplies, forms and equipment, maintains stock per guidelines.
Completes expense reports, travel arrangements, purchase requisitions and obtains necessary authorizations. Handles HR documents/processes as directed for supervisors and their direct reports.
Manages and operates equipment safely and accurately including obtaining supplies, troubleshooting and calling for maintenance (e.g. fax, copier, printer, laptop, proxima).
Handles phones and email accounts as directed.
Resource person within department and to other administrative staff and the leadership team.
Manages department resources e.g. keys, signage, badges, phones, parking permits, etc. per guidelines and as assigned.
Arranges for additional resources (temporary staff, volunteers) to cover vacations, leaves of absences and/or variable workloads and provides supervision/direction as assigned.
Coordinates office moves, space modifications, computer access, and other staff needs as assigned.Class coordination
Coordinates all classes and training sessions including registration, scheduling, class materials, set up, catering, evaluations and necessary follow up.
Uses Lawson efficiently to manage registration, work and record keeping.
Liaison to vendors (catering, education providers, off-site space, etc.).
Coordinates CEU process as appropriate.
Communicates with attendees regarding class requirements, logistics, reminders and other special needs to ensure an effective experience for attendees.
Applies creativity and continuous improvement to the execution of the classes and programs to ensure an ideal learning environment.Coordinates and completes numerous ongoing and special projects
Independently coordinates projects as directed producing deliverables outlined by supervisor.
Keeps supervisor informed of progress and aware of any delays.
Completes assignments within specified timeframe and budget.
Seeks opportunities to improve individual or department operations by leveraging technology or using a process improvement orientation.Customer service
Provides excellent customer service by demonstrating effective communication and guest relations with staff, physicians, clients, industry representatives and the general public. All communication reflects an image of competence, politeness and responsiveness to customers' needs. Telephones are answered timely and assures timely follow-up with messages (same day).
Maintains accurate and current knowledge of all departmental programs, services, activities, events and schedules. Makes appropriate referrals within the system in response to client's needs.
Obtains information from visitors/callers, directs as appropriate or takes complete and accurate messages. Acts on requests for customer assistance.
Responds with courtesy and patience to calls/visits from persons who may be angry, distraught, etc. Problem solves as appropriate or directs to appropriate resource.Meeting coordination
Schedules meetings and related resources (room, AV, food, etc.) and confirms participants
Prepares agenda and attachments, attends and takes minutes for meetings as directed.
Coordinates schedule of designated individual(s) using appropriate computer application and ensures schedule is current and accurate.
Coordinates meetings and schedules to ensure there are no conflicts.
Schedules special functions, travel arrangements as directed.Provides administrative support
Researches and gathers data from various sources and generates special projects reports/summaries. Report generation may involve analyzing data and preparing spreadsheets, databases or other documents.
Aggregates class/event evaluations and presents the information in a concise and easy to read format. Monitors information for trends or themes that need to be addressed.
Independently maintains department-specific websites ensuring content is current and relevant. Takes initiative to improve navigation and user-friendliness of webpages.
Ensures that materials generated from the Clinical Effectiveness Division reflect the high standards of the departments within it.
Composes correspondence, memos, presentations, flyers, spreadsheets, and other documents as requested. Drafts complex documents from abstract ideas and general information.
Writes and secures resources to assist with content for various program documents and newsletters. Reviews and edits materials as requested.


Knowledge, Skills, and Abilities

Intermediate to advanced knowledge of the following computer applications: MS Outlook, MS Word, MS Excel, MS PowerPoint and MS Publisher (or similar program).Proficient with A-V Equipment, customer service oriented, team player, positive attitude under pressure, ability to prioritize competing requests, seeks help and uses resources when needed, coordinate and set up meetings and classes.Excellent organizational skills. Ability to prioritize and handle multiple deadlines and projects with minimal instruction.Able to work in a fast-paced environment.Ability to make independent judgment, operate autonomously, remain motivated and work with a high level of conscientiousness and confidentiality.Attention to detail and a high level of accuracy are required.Responsiveness and ability to work under deadline pressure on occasion.Strong oral and written communication skills. Excellent grammar, writing ability and vocabulary. College level English composition courses preferred.Strong math and critical thinking skills required.Must display agility in meeting the changing needs and demands of the Division and must be able to offer assistance to and seek help from the other administrative support staff on the team.Strong interpersonal skills dealing with all levels of employees.Excellent customer service skills, highly professional demeanor and a positive "can-do" attitude.
