Clinical Secretary - Behavioral Health 103

As part of the Telecare family, Villa Fairmont is licensed as a 99-bed Mental Health Rehabilitation Center. It serves adults who have a history of serious and persistent mental illness with repeated hospitalizations.

Full-Time; AM 8:30 - 5 pm; Monday - Friday   

Wage range $21.00- $ 22.22 – Telecare applies geographic differentials to its pay ranges.  The pay range assigned to this role will be based on the geographic location from which the role is performed.  Starting pay is commensurate with relevant experience above the minimum requirements.

POSITION SUMMARY
The Clinical Secretary provides support services to the Clinical Services Department.

ESSENTIAL FUNCTIONS
• Demonstrate the Telecare mission, purpose, values and beliefs in everyday language and contact with the internal and external stakeholders
• Performs tasks correctly and according to policies and procedures
• Demonstrates excellent communication skills
• Records, types, distributes and maintains the meeting minute files, as requested
• Types, distributes and maintains the minutes for the clinical staff and committees as directed
• Types and distributes memos, letter, reports, etc. for the clinical staff. Develops a file system to track the clerical work assigned from each clinical staff member. Develops a file system to track clerical work assigned from each clinical staff member
• Transcribes information using transcription equipment
• Maintains accurate records on members served admissions, discharges and legal status, as assigned
• Verifies legal status on all new admissions
• Assists in personnel-related matters by maintaining Nursing Department staff personnel files
• Notifies staff of members served court dates and the results of hearings, as assigned
• Maintains a system of tracking the members served progress through the involuntary detention process, including:
o Notifying physicians when legal papers are due
o Obtaining the appropriate legal paper work from clinical staff and forwarding it to the Conservator’s Office in a timely manner
o Notifying clinical staff of changes in members served legal status
o Maintaining an up to date file of staff authorized to write 5150’s to detain members served involuntarily
• Notifies staff of writ hearings
Duties and responsibilities may be added, deleted and/or changed at the discretion of management.

QUALIFICATIONS
Required:
• Two (2) years of secretarial experience in a health setting
• High School graduation or a G.E.D. equivalent
• Must be at least 18 years of age
• Must be CPR, Crisis Prevention Institute (CPI), and First Aid certified on date of employment or within 60 days of employment and maintain current certification throughout employment
• All opportunities at Telecare are contingent upon successful completion and receipt of acceptable results of the applicable post-offer physical examination, 2-step PPD test for tuberculosis, acceptable criminal background clearances, excluded party sanctions, and degree or license verification. If the position requires driving, valid driver license, a motor vehicle clearance and proof of auto insurance is required at time of employment and must be maintained throughout employment. Additional regulatory, contractual or local requirements may apply

Preferred:
• Supervisory experience
• Associates Degree in a business or related specialty 
SKILLS
• Typing at the rate of fifty (50) words per minute, basic computer skills, knowledge and experience in the use of transcription equipment, excellent communication skills, the ability to compile statistics, and knowledge of psychiatric medical terminology
• Ability to work with a minimum of supervision, manage multiple projects, prioritize work assignments, problem-solve and work under strict deadlines is essential
• Ability to read, write and speak English is crucial, as is the willingness to work with mentally impaired adults

PHYSICAL DEMANDS
The physical demands here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to walk, stand, bend, squat, reach and lift and carry items weighing 25 pounds or less as well as to frequently sit, twist, and do simple grasping. The position requires manual deviation, repetition and dexterity. Visual requirements include computers and books exposure.
