Club Events Manager - Brookhaven
Capital City Club- Club Event Manager Capital City Club is looking to hire an enthusiastic, self-motivated, and team-focused individual as a Club Events Manager in our  Brookhaven Location. This position is perfect for an individual who loves to plan, manage and assist in the administration and operations of unique member events. The perfect individual for this position possesses a professional appearance and demeanor, a great smile, and spontaneous creativity.  Essential Function: Responsible for day-to-day administrative services for all internal club events and activity at the Brookhaven clubhouse (and on occasion Crabapple) to including holiday functions, unique ongoing club events, and departmental Swim/Tennis/Fitness/Golf events, and committee/staff meetings.  This role will work creatively and collaboratively with vendors, Executive Chef, Food and Beverage management team to conceptualize these events, and each department head for their annual calendars.  The Club Event Manager will take the lead for information collection and entry into the software to plan and communicate all the details to execute each event.   Responsibilities: + Manage the annual holiday and club events calendar. + Work with the Communications Coordinator to create and distribute invitations, newsletter content, and targeted campaign information to promote club events, utilize member information in Northstar. + Set up events in Northstar and manage reservations for all club events.  Confirm all reservations with members and prepare seating plans/arrangements when necessary. + Organize information (menus and details) to generate BEOs, make arrangements for additional products and services, as needed for event preparation.  Print event materials, when needed. + Create BEOs in Northstar with all details needed to execute the event.  + Create/modify existing and new club events to entice participation from our members.   + Maintain banquet software application to ensure it remains up to date with all necessary information and disseminate any and all changes in a timely manner to the appropriate departments. + Inspect room set-up prior to the event, manage vendor partners, be present to greet members, and assist with check-in process as needed, determined by the Director of Catering. + Ensure correct charges are billed to members after each club function. + Maintain a network of quality vendors that can provide event amenities, products, and services.  Select and hire necessary vendor partners for a successful event experience. Ensure contracts and pricing are in line with event goals, manage payment of vendor invoices. Initiate and prepare satisfaction surveys on selected club events.  + Critique functions to determine future needs and implement necessary changes to ensure the highest quality of events. + Maintain club event P&Ls to monitor profitability, costs, and pricing of club events. + Attend professional development and training activities, identify new products or trends for enhanced event experience. + Collaborate with Catering Director in promoting, advertising, and marketing the club’s social event facilities to members. + Attend weekly BEO operations meetings and other management meetings with the Director of Catering. + Other duties as required in support of the Catering Department Requirements: + Previous event planning experience in a private membership club preferred. + Possess strong communication skills, both verbal and written. + Proficiency in Microsoft Office and have a working knowledge of additional Microsoft Office software and the ability to learn catering-specific programs. + Bachelor’s degree required or 6 years experience working in the hospitality industry in lieu of degree. + Able to work nights, weekends, and holidays. (will be required by the scope of the event) + Ability to focus on details.
