Cluster Director of Finance/Finance Manager

Under the business supervision of the General Managers, and within the limits of Hyatt International policies and procedures and local requirements, the Cluster Finance Manager is responsible for the hotels (Hyatt Centric Milano Centrale and Hyatt Centric Murano Venice) financial aspects and the supervision of all members of the Accounting, Purchasing and IT Department.

Providing functional guidance to Hotels management Committee and Department Heads; Interacting with hotel’s legal counsel, insurance companies, consultants, auditors, commercial and government banks to effectively control the hotel assets of the business and to provide business support.

Work cooperatively and effectively with owning company, operator and hotels to set goals, resolve problem, and facilitate decisions that enhance organizational effectiveness.

CORE DUTIES RESPONSIBILITIES /performed by the Cluster DoF / Finance Manager with the support of the current structure and a shared service center

Key Responsibilities – Ongoing Operation

§ prepare, supervise, scrutinize and approve monthly journal entries, balance sheet and income statement

§ submit monthly reporting package on a timely basis

§ Ensure the compliance with Management agreement and company code of conduct

§ Assist and provide financial guidance in the formulation and implementation of Strategic Plan, Budget and KPO’s (Goals Program)

§ Ensure an up to date cash flow projection is maintained and maximizes cash flow performance of the hotel through controls on inventory, credit and collection, disbursements, deposits and remittances

§ Administer cash management and ensure excess cash is managed to maximize earning potential and monitor procurement and expenses

§ Prepare forecasts for the remainder of the year and review and daily business

§ Prepare monthly position of actual results against budget, forecast and last year, analyze results and recommend measures required to meet budget

§ Distribute outlook and forecast information as an up to date management tool for operating departments

§ Implement and review financial controls and policies

§ Design internal reporting systems required by the department, the hotel and corporate office.

§ Employ adequate internal control procedures to ensure correct authorization for payment procedures (credit policy)

§ Manage internal and external audits when they occur

§ Provide administrative support to Management with reference to policy enforcement, business advice and operational assistance

§ Provide safekeeping, including proper storage and access for all contracts, insurance, leases and other financial records

§ Follow up on all capital expenditures to ensure compliance with original justification and approval

§ Participate in local recognized professional and industry organizations

§ Recommend and maintain an appropriate list of delegation of authority for hotels management

§ Conduct monthly inspections and tests to ensure all departments are complying with required procedures

§ Perform those duties required by the controls checklist issued by the operator

§ Implement and maintain acceptable accounting practices and procedures as required by Hyatt Policy, generally accepted accounting practices (GAAP), and as affected by local conditions

§ Monitor the Local Banking arrangements made for the operation of the Hotel in conjunction with the Hotel Owners (Managed Hotels)

§ Review operating equipment stores to avoid unnecessary/excessive purchases and to eliminate (or at least be aware) of obsolete slow moving items

§ Ensure all balance sheet accounts are reconciled on monthly basis, review and approve those reconciliation’s

§ Ensure payments are made (all Fees and billings) as fast as possible

§ Review and update existing standards to ensure competitiveness

People Management

Work within the company’s Human Resource Management System to ensure the departmental performance of staff is productive. Duties include:

§ Plan for future staffing needs

§ Recruit in line with company guidelines

§ Prepare detailed orientation programs for new staff

§ Maintain a comprehensive, current and guest focused set of departmental standards and procedures and oversee their implementation

§ Ensure training needs analysis of your departmental staff is carried out and training programs are designed and implemented to meet needs

§ Deliver training

§ Actively work at developing your direct reports and identify high potentials

§ Maintain training records for all direct reports and ensure they do the same for their staff

§ Conduct formal performance appraisal in line with company guidelines

§ Coach, counsel and discipline staff, providing constructive feedback to enhance performance

§ Regularly communicate with staff to maintain positive relationships
