Collections Coordinator
Are you ready to join a team in the global logistics and transportation services industry? The Collections Coordinator performs collections activities to ensure invoices are paid within terms, payments are applied accurately and promptly, and the incidence of bad debt write-offs is reduced. Responsibilities + Perform inbound and outbound collections calls with customers. + Complete daily account activity assignments within required timeframes. + Produce and use data reports effectively to identify open items and audit work. + Work effectively with internal resources to resolve collections-related activities. + Initiate effective, professional calls, e-mails, and faxes, and write dunning letters when invoices are falling beyond terms. + Coordinate customer payment arrangements and resolve invoicing or payment problems. + Print, reprint as needed, and mail invoices and statements at customer’s request. + Record activities and account updates timely and accurately in internal data systems. + Review weekly receivables reports and provide findings of proposed receivables adjustments, write-offs, and payment history. + Inform management team of slow paying customers and recommend settlements as necessary. + Identify accounts that may require referral to outside collections resources for management review. + Engage with operations groups to evaluate delinquent accounts, ensure effective handling of account-related communication, and develop clear understanding of business relationships to resolve situations effectively. + Work with sales and billing staff for research, reconciliation, and analysis of customer accounts, including cash application problems, short- and over-payments, and billing errors. + Update schedule, logs, and tasks daily. Essential Skills + Experience in accounts receivable and collections. + Proficiency in Excel, including creating tables and data entry. + Experience with business-to-business collections. + Experience with aging report analysis. + Strong worksheet preparation skills. + Understanding of collection standards and best practices. + Knowledge of accounting controls, accounts receivable processes, and general ledger account structures. + Ability to perform basic math calculations including multiplication and percentages. + Understanding of proper handling of sensitive, confidential, and personally-identifying information. + Proficiency with Microsoft Office products, specifically Excel at an intermediate level, and Word and Outlook at a basic level. Additional Skills & Qualifications + 2+ years of experience in a collections/receivables environment. Work Environment This role will be based in the office with a schedule of 8 am-5 pm onsite. You will be part of a team consisting of 2 collections specialists and 1 working supervisor. Pay and Benefits The pay range for this position is $21.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
