Commercial Construction Office Manager - Albuquerque, NM
     Nations Roof is seeking an experienced and highly professional  Commercial Construction Office Manager to join our team. 

 

This position is based in Albuquerque, NM and will be 100% in office with a Monday-Friday schedule.

 

Nations Roof is one of the largest and fastest growing commercial roofing contractors, ranked the Top 5 Roofing Contractors in the US.  Our projects range in scope from large scale new commercial construction, industrial, hospitality, distribution centers, retail centers, office buildings, multifamily and green roofs to large renovations of existing buildings.

Function: Responsible for involvement with all aspects of a office administrative in a construction company.  Create and maintain a pleasant work environment, HR, Executive Assistant functions, project support, and serve as the go-to person for all office needs.  


Schedule meetings and appointmentsPartner with HR to update and maintain office policies as necessary.Employee personnel filesActive role in screening and hiring process for multiple departments.Assist in the onboarding process for new hires.Scheduling and facilitating orientations.Scheduling, planning, and organizing large safety training sessions to meet OSHA compliance safety regulations for 80+ employees.Own and manage customer accounts from initiation to completion for construction projects.Serve as the primary point of contact for customers, addressing inquiries and ensuring their requirements are met.Maintain communication with project contact regarding scheduling and documentation requirements.Obtaining building permits and contractors licenses in a variety of municipalities; involves reading, researching, extensive communication within the municipality and following specific guidelines pertaining to individual requirements.Process payroll and COIs, as required. Enter invoices, progress billings, AIA billings, and track payments and collections.Enter and update information in multiple CRM systems and portals.Track and update project progress, billing, and other critical project details.Process lien waivers and other necessary documentation.Enter and manage progress and percentage of completion billings.Prepare and finalize close-out documents, ensuring all internal and customer records are up to date.Maintain regular communication with internal teams and customers to provide updates and resolve issues.Prepare reports on project status, billing, and other key metrics as required.Reconcile accounts as required.An ability to produce a high-volume output while maintaining an attention to detail.Additional duties related to all aspects of office management duties as directed by President 



Skills/Qualifications:


5 years minimum of experience in office administration and/or project coordination (prior office management experience preferred)Experience with commercial construction office support experience Proficient in Microsoft Office Programs (Excel Word Outlook Power Point)Accounting experience (Experience with Viewpoint, SAGE, Timberline, SAP, or similar construction platform preferred)Ability to give instructions and clearly explain problems or situationMust be Team OrientatedGood leadership and organization skills
