Job Description:

MAJOR RESPONSIBILITIES

Quality reporting using CTS software and proper documentation

Ensure that the WV Commodities Tracking System (CTS) is installed and functioning in the programmed office.Gather reports from warehouse and distribution staff regarding receipt, disbursal and use of food commodities.Maintain a visual tracking of receipt of all reports, and notify staff whose reports are late.Enter all data into the CTS.Generate reports from the CTS on a monthly basis to ensure effective tracking of commodities, and to report to both WFP and WV.Ensure timely receipt of all reports are access by the project manager, field coordinator and commodity coordinator in the National Office.

Data accuracy and ensure use of standardized forms and formats

Check monthly food distribution documents and ensure all the data are accurate and using standardized forms and formats.Provide regular feedback on inaccurate and inconsistence of data and documents provided by the distribution staff.Ensure standardized forms and formats are shared with distribution staff and utilize it. Report all discrepancies to the field Manager in a timely manner.Conduct random check the beneficiaries' lists are accurate with actual beneficiaries

Maintain beneficiary’s information and data protection

Maintain both hard copy and soft copy of all reports safely, organized in chronological fashion, easy to access at any time.Ensure the beneficiaries information is maintained in computer using security password.Ensure all staff are aware of beneficiaries’ information are protected and follow the policy and guidelines. 

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

At least 2 years’ experience in actual food/cash aid programme implementation and related to Food & Cash project.Previous exposure to food aid/cash programmingBachelor’s degree or Other graduate degree is essentialMore than 2-year experience is preferableKnowledge of Microsoft Word and Excel, fax and e-mail.Good knowledge in food programming.Strong interpersonal skills and able to work with a variety of stakeholders including staff, community members, donors and local authoritiesProven project facilitation skillGood time management and organizing skillDemonstrate collaboration skillsGood knowledge in Microsoft Office computer programs including Word, Excel and Power Point
