**Job Description:**
**KEY RESPONSIBILITIES**
**Communication**
+ **Primary Contact:** Serve as the primary point of contact for internal and external stakeholders, managing incoming calls, emails and drafting or reviewing correspondence on behalf of the executives.
+ **Event Leadership:** Organize internal events such as kickoff meetings, mid-year engagement meetings, year-end appreciation events, and other employee initiatives.
+ **Meeting Coordination:** Arrange and prepare materials for executive meetings, conferences, and presentations. Attend meetings and take detailed notes for dissemination.
+ **Translation and Content Creation:** Support the General Manager with live and written translations. Write and prepare scripts and content for company communications.
+ **Event Coordination:** Assist in planning and coordinating global/regional executive visits, Town Halls, and LT meetings, as well as managing related logistics.
**Administrative Support**
+ **Calendar Management:** Maintain and coordinate the calendars of General Manager and Leadership Team, scheduling meetings, appointments, and travel arrangements while ensuring efficiency.
+ **Travel Arrangements:** Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation to ensure cost-effective and efficient travel.
+ **Document Organization:** Manage and organize digital and physical files, records, and documents for the executives, maintaining an efficient filing system.
+ **Expense Management:** Handle expense reports and reimbursements, ensuring compliance with company policies and accurate record-keeping.
**Other Projects**
+ **Project Assistance:** Provide support for special projects and initiatives as assigned by the General Manager, including research, analysis, and follow-up.
+ **Confidentiality:** Uphold the highest level of confidentiality regarding all aspects of the executives' work and activities.
+ **Relationship Building:** Cultivate and maintain strong relationships with internal and external stakeholders, including clients, partners, and board members (VNLT).
**QUALIFICATIONS**
+ Fluency in English, with proficiency in public speaking and writing.
+ 3 - 5 years of proven experience as an executive assistant or senior administrative assistant, preferably in support of C-suite executives.
+ Exceptional organizational and time management skills.
+ Excellent communication skills, particularly in event organization.
+ Proficient in MS Office and other relevant software.
+ Strong attention to detail and problem-solving abilities.
+ Ability to work independently and prioritize tasks effectively.
+ High level of professionalism, discretion, and integrity.
+ Bachelor’s degree or equivalent experience preferred.
