The School of Business has an outstanding opportunity for a **Communications and Event Specialist.** Reporting directly to the Dean, this position oversees communications strategy, management and implementation for the School of Business, and the organization of events, on and off campus, for the School’s various constituencies – students, staff, faculty, advisory boards, alumni, and academic programs -- to raise the School’s profile and showcase its accomplishments. The Communications and Event Specialist will manage both externally and internally focused communication, including website updates, story development and placement, production of newsletters and promotional materials, and manage the School’s social media presence.
This position has two distinct, yet related components. One – Communications – will focus on publicizing the School of Business’ programs, accomplishments, and events, using all forms of media, including social media, to internal and external constituencies. The position will work with the faculty, the student service offices of the School, the Dean, and with University Advancement to provide messaging that is both informational and brand building. This involves having a keen eye toward the School’s priorities as well as the priorities of the University, with an understanding of voice(s) and audiences, and a strong attention to detail. Two – Events Management – will focus on planning, organizing, and hosting a wide range of events, on or off-campus to showcase the School’s programs, opportunities, successes, and to thank individuals and groups, as appropriate. This requires coordinating with various groups across campus and outside to build and update a calendar, reserve locations, arrange for food and presentation props, invite guests, sign contracts with vendors, and make payments.
The Communications and Event Specialist will evaluate the effectiveness of the communication strategy and adjust it as necessary. Similarly, the effectiveness and nature of events will be assessed, and changes made as needed.
Exceptional organizational skills are required.
**DUTIES AND RESPONSIBILITIES** Manages Communications tools
+ Manages website strategy and the development/update of content (including illustrations) for external and internal electronic communications through all stages of the communications development process.
+ Coordinates School’s newsletters, both internal and external, with key staff to ensure message alignment.
+ Maintain and implement social media strategies: write copy, post interactive content such as photos and videos, curate relevant content from other sources, monitor visitor interaction with social media sites (LinkedIn, Facebook, etc.) in compliance with relevant policies and procedures, and monitor user statistics to guide content development and interaction.
+ Proactively collect stories of students, faculty, staff, alumni, supporters, and programs for wider dissemination.
+ Consult with faculty on their research and prepare their work for easy access in the general media.Event Organizing and Management
+ Develop a calendar of events for the year in consultation with the Dean and Student Services.
+ Create and maintain guest lists.
+ Invite the intended participants in a timely and effective manner.
+ Work with relevant offices on and off-campus to select event sites and set them up for the events as appropriate.
+ Work with vendors to select food and arrange for their delivery to event sites.
+ Evaluate and recommend contracts for vendors, consistent with the budget.
+ Track guest attendance and assess event success against intended goals.
+ Document events with photos, social media coverage, and text.Oversees School of Business Communication Strategy
+ Provide advice and develop a strategy for messaging to faculty, students, staff, and external audiences.
+ Maintain a repository of stories published.
+ Assist with communicating stories/information to support AACSB accreditation, including preparing an annual report and keeping website updated with information of student success.
+ Oversee the preparation and distribution of informational materials for not-for-credit and graduate programs. **MINIMUM REQUIREMENTS**
+ Bachelor's degree in marketing, Communications, Journalism, English, or related field. Equivalent appropriate experience may substitute for this requirement.
+ At least three years of experience managing and creating specialized communications material including publications, graphic design, print, web, social media, special events, etc., in a higher education setting. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Proficient knowledge of Adobe Creative Suite: Photoshop, Illustrator, InDesign (or similar).
+ Experience using Facebook, Instagram, Twitter and other social medical platforms to effectively and responsibly communicate compelling content and brand messages.
+ Strong project management and problem-solving skills, ability to adapt to shifting priorities and deadlines in a fast-paced environment.
+ Excellent written and verbal communication skills.
+ Experience with communications planning and strategy.
+ Experience with Content Management Systems.
+ Detail-oriented.
+ Experience with planning and hosting social events for different groups ranging from undergraduate students to senior corporate executives.
+ Ability to work with a diverse constituency and demonstrated ability to work with diverse staff at all levels of an organization. **DESIRED REQUIREMENTS**
+ Experience with developing information architecture and page layout structures.
+ Familiarity with the nature of academic scholarly works; able to explain technical and scientific information for a non-technical audience.
+ Experience with SharePoint, Teams, Google applications.
+ Experience with video production.
+ Familiarity with budgeting and budgetary processes. **CONDITIONS OF EMPLOYMENT**
+ Shared office space environment.
+ Work will be performed across UW Bothell campus.
+ Must be available to work occasional weeknights and weekends.
