Job DescriptionThe Communications Coordinator will play a key role in supporting Osler's Strategic Communications department with particular focus on public relations as the team works to continually enhance the brand and profile of Osler and its people. The individual in this role will assist with a variety of activities and strategic priorities across the strategic communications team, including but not limited to – copy editing, writing, proofreading, media reporting, communications dashboards, development of presentations and memos, stakeholder relations functions, and event and project planning.
Accountabilities:
Support the planning, coordination and execution of internal and external events, projects and communications strategies that are driven and overseen by the Strategic Communications portfolioDevelop, edit and proofread presentations, briefing notes, letters, memos and other communications products for various internal and external audiences with acute attention to detail, grammar, spelling etc.Develop media clippings for the organization's leaders and support the Strategic Communications team with measurement and evaluation of media stories and servicesDevelop responses to confidential, challenging, and routine inquiries from external and internal stakeholders using tact and sensitivityLiaise with external organizations and stakeholders to coordinate and execute Strategic Communications prioritiesConduct secondary research and engagement with external partners and experts to obtain information and tools to support project activitiesCollect data and perform analysis to support evaluation as part of strategic communications reporting activity to help inform decision-makingAssist with planning and executing events (virtual or in-person) as requiredPerform some administrative functions to support the team and its leaders, requiring the use of independent judgment and with a minimum of direction (e.g. payroll, submitting invoices to accounts payable, budget tracking and expense report submissions)Provide periodic support to Osler's Chief Communications Officer and the department's Directors and Senior Managers on some administrative activities; this can include occasionally coordinating scheduling and support agenda-setting and document distribution for a wide range of meetings and communications activitiesQualificationsBachelor's Degree in Corporate Communications, Public Relations, Journalist or discipline1-3 years of experience in a communications-related roleRelationship-builder with exemplary customer service, public relations and diplomacy skills, including dealing effectively with all employee groups, the public, and representatives from government and other health care organizationsStrategic, proactive, action-oriented disposition; is comfortable putting forward new ideasExcellent interpersonal, written and oral communication skillsAbility to work independently, exercise good judgment, take initiative, and ensure the resolution of routine issuesTeam player, able to collaboratively at all levels of the organization and build partnerships with cross-functional teamsMulti-tasker with excellent time management and project management skills and ability to effectively prioritize workflowHighly developed judgement and initiative in analyzing issues, identifying solutions and decision-making on highly-sensitive matters that impact Osler's stakeholder relationshipsKnowledge of the health care landscape and environment in Osler's catchment areaAdaptable, flexible, and resilient with changing circumstancesExperience in data analysis, planning, and reporting – experience with a current media reporting platform is desirableAdvanced proficiency with office software, specifically Microsoft Office Suite software applications including Outlook, Word, PowerPoint, Excel, Publisher, the Internet and electronic data management systems, as well as Adobe Creative suiteHigh standards of ethics and confidentialityAbility to travel to and work between Osler sites; must have access to vehicleMust demonstrate Osler's Values of Respect, Excellence, Service, Compassion, Innovation and CollaborationAdditional InformationHours: Currently days (subject to change in accordance with operational requirements)
