Duties & responsibilities

Client Engagement

Create a fun and impactful client engagement strategyEngage with all guests, employees and key stakeholdersEmbed in the FM team a culture of empowerment, engagement and fulfilment.Work with relevant parties on space management through data analyticsDevelop client support/feedback initiatives e.g. FAQBuild a community of ambassadors to deliver soft services that are authentic, caring and able to provide timely services

Communication

Lead the development and implementation of all internal communication strategies in collaboration with client leadership with a focus on improving culture and employee engagement.Liaison with JLL team and client on soft service deliveryShare regular event and celebration content through client’s internal monitors, blog posts, newsletters and other communication channels.Adopt innovative communication strategiesChampion monthly meetings with stakeholders to enhance relationships

Event Management

Formulate a monthly/annual calendar of events and implementation planBuild and maintain Standard Operating ProceduresOrganize facilities and manage all event details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.Providing outstanding customer service and organizing memorable events that exceed client expectationsPropose ideas to improve event and service qualityEvents reporting and customer feedback surveyDevelop an event planning process that is simple to adopt and implementAssist in the coordination of event orders with clients, team and vendorsDevelop and manage the vendor network

Procurement & Vendor Support

Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)Assist in the procurement of consumables and services as requiredHost monthly/quarterly vendor meetings, upload minutes of meetings, action plans and improvement plans

Finance Admin Support

Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerJDE PO/GR, Peoplesoft invoices, Corrigo WOs, track DAS reports and submit monthly accruals report to Workplace ManagerEnsure Finance KPIs scores are met

Risk Management

Assist in the event risk management programParticipate in the disaster recovery and business continuity plans as requiredFollow established escalation procedures and incident reporting proceduresAdhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies.

Achieve Key Performance Indicators and Service Level Agreement targets
