SAN MATEO COUNTY Burlingame, CA COMMUNITY OUTREACH COORDINATOR Mission Statement The Community Outreach Coordinator Advocate is responsible for seeking out, coordinating logistics, and participating in community health education, community outreach, injury prevention, and other programs targeted to increase public access/awareness of the EMS system in San Mateo County. The Community Coordinator will engage in events with the intent to maintain, and showcase, the organization’s reputation, integrity, and history of exceptional service within the county. The Community Outreach Coordinator collaborates and coordinates activities while supporting partners in this business unit in support of county and business goals. Works in strict adherence to confidentiality of the Regional Director and departments in which they support. Duties/ Responsibilities Community Outreach: Identify potential threats, issues, opportunities for engagement, educational opportunities (public and allied agency) within San Mateo County • Sign up for email distribution or subscription to County newsletters, newspapers, etc. • Reach out to areas or outlets to determine mode of information notifications • Review County websites, maintain calendar of scheduled meetings with Board of Supervisor meetings agendas, and minutes • County connections, submit weekly to leadership team, summary of current issues/ topics facing the county • Review FD websites, maintain calendar of scheduled meetings, agendas, and minutes • Review city council websites, maintain calendar of scheduled meetings, agendas, and minutes • City connections, submit weekly to leadership team, summary of current issues/ topics facing each city within the county • Externally sponsored community events, identify opportunities for our participation, submit to leadership for consideration • Allied agency sponsored community events, identify opportunities for our participation, submit to leadership for consideration • AMR sponsored events, assist in the development, delivery, and evaluation of formative community education programs for AMR • Event logistics including staffing needs with certifications (Medic, EMT, etc.) PR materials, coordination and preparation of giveaways and supplies • COT team, coordinate event participation from members, hold regular team meetings • Annual reporting and maintenance of accurate records of community education activities and assist with preparing annual reporting documentation to demonstrate contract compliance. Duties/ Responsibilities Service Advocate: Patient/ Family complaints • Patient advocacy: contacts or responds to and resolves inquiries concerns and questions from patients, patient families or RP • Service issues, contacts patient/ RP for information, demonstrating empathy and exceptional customer service to facilitate solutions, consults with Regional Director or their designee as needed, assist with investigations as requested • Lost items, contact patient/ RP for information, attempt to locate items, facilitates returns • Billing Issues, contact patient. RP for information, coordinate with billing department when appropriate, consults with Regional Director and or Operations Manager, facilitate solutions in the customer’s and Company’s best interest Duties/ Responsibilities Standby Coordinator: Receives requests for standby and in-kind community events. Gathers detailed information about the event, vets with Scheduling to determine feasibility of accepting, review with Regional Director or their designee for next steps • May coordinate and schedule stand-bys in partnership with scheduling teams • Maintains standby schedule for both paid and in-kind events • Maintain Calendar of events with all necessary information including resource request, contact information, event details, paid v. in-kind, crew information • Develop and maintain checklist for each item needed for event (staff, equipment, standby sheet, giveaways, etc.) • Color-code for all status in planning process (I.e. “staff confirmed”, “contract signed” • Coordinate event questionnaire with promoter • Update and present all necessary event contracts to RD or designee for review, RD for signature • Work with scheduling for staffing needs and availability. • Coordinate details with crews Duties/ Responsibilities Ancillary Duties: Employee Support • Prepare letters, memos, reports, meeting/committee minutes, etc. as needed • Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed • Maintains office supplies • Collects incoming mail and distributes to intended recipients • Attend and participate in meetings and other off-site events as needed • Ability to greet visitors, clients and colleagues in a friendly and courteous manner • May assist in training others • Other duties as assigned Required Skills/ Abilities: Excellent verbal and written communication skills Excellent interpersonal and customer service skills Proficient in Microsoft Office Suite or related software Excellent organizational skills and attention to detail Ability to effectively manage time to meet deadlines Basic understanding of clerical procedures and systems such as recordkeeping and filing Ability to work independently Education and Experience: High school diploma or equivalent required Experience in EMS industry CPR instructor within six months of hire Physical Requirements: Prolonged periods sitting at a desk and working on a computer Must be able to lift up to 15 pounds at times Travel and work: Travel up to 25% of the time Flexible work hours -between 7 AM- 6PM PST Flexible hybrid schedule available with approval of Regional Director May have to work some evenings and weekend EEO Statement Global Medical Response and its family of companies are an Equal Opportunity Employer, which includes supporting veterans and providing reasonable accommodations for individuals with a disability. Pay Range: $85,000.00 - $95,000 DOE (annually) Statement: This position is GMR Merit eligible
