The Compliance Assistant will support the Compliance Department in providing a comprehensive compliance and ethics program for the Cayuse Holdings family of companies. This position performs all duties and responsibilities in accordance with the Mission, Vision, and Core Values of Cayuse.
About Cayuse Shared Services, LLC:
Cayuse Shared Services (CSS) provides the back-office support services for the Cayuse Holdings family of companies. CSS provides services related to Finance, Compliance, Facilities, Human Resources, Information Technology, Organizational Development, Marketing and Legal. We also provide some of these support services to organizations outside of Cayuse Holdings.
Responsibilities Provides administrative support to the Compliance Department, which may include: document preparation/formatting, maintenance and filing, data entry, and research.Assists in the collection and organization of compliance program metrics and program documentation.Manages ad-hoc special projects and initiatives and additional responsibilities as requested.Promotes the company's code of ethics.Support the implementation and maintenance of policies and procedures for the general operation of the business.Research new or revised corporate policy, as requested.Maintain the policy repository, including records of revisions, adoption, or retirement, and related notifications.Assists with monitoring for compliance with internal policies and procedures and regulatory requirements.Process and maintain filings with state entities (i.e., Secretary of State), including applications, amendments, periodic reports (per established deadlines), and withdrawals/dissolutions according to established procedures for all Cayuse entities.Process filings for application and renewal of licenses, registrations, and certifications (including, but not limited to SBA 8(a), HUBZone, MBE, and DBE) according to established procedures for all Cayuse entities.Assist with the maintenance of accurate and detailed corporate records within both Cayuse and/or third-party systems. Maintain current and accurate contract master files within Cayuse and/or third-party systems.Identify and record key variables per contract type, which may include, but is not limited to contract parties, legal contacts, compliance requirements, and period of performance.Assist with internal contractual compliance with the terms and conditions of customer contracts, designated management objectives, policies, and all applicable laws, rules, and regulations.Supporting Cayuse staff in preparing for and undergoing various internal and external auditsResearch new or revised laws and regulations, as requested.Monitor internal and external information sources (e.g., risk assessments, audits, complaints) to identify and report on potential areas of compliance program vulnerability.Support the Compliance Manager in managing the company insurance policies and coverage. Provide assistance with timely communication to both Cayuse entities or contractors regarding insurance coverage and company’s insurance broker, assist with insurance renewal applications and maintaining insurance policy documentation. Assists in implementing a comprehensive and proactive program to ensure compliance with contracts, federal/state/tribal regulations, and company policies.Other duties as assigned. QualificationsMinimum Qualifications:
2-4 years of general compliance experienceExperience working in a decentralized, matrixed business setting preferredCertified Compliance and Ethics Professional (CCEP) certification (preferred)Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.Minimum Skills:
Strong knowledge of Microsoft Office Suite (Word, Excel, OneNote, Outlook, Planner, SharePoint) and ability to learn other computer systems quickly with proficiency and accuracy.Possesses superior organizational and data entry skills.Excellent time management skills, attention to detail, and accuracy; ability to efficiently organize and prioritize multiple tasks.Ability to think practically and exercise sound judgment, balancing business needs, regulatory risks, and reputational risks in an objective, practical wayAbility to read, analyze and interpret legal documents, financial reports, and technical documents.Ability to deal with problems involving several variables or seek additional support when needed.Ability to gather, interpret and make use of information and ideas from multiple sources.Ability to exercise a high degree of confidentiality.Strong verbal and written communication skills.Proactive in building and maintaining positive relationships while teaming with coworkers internally and cross-departmentally.Ability to prioritize and conduct a variety of tasks as assigned, as well as to work independently as needed.
