What You'll Do

Welcome to BCG Nashville!  North America’s fastest growing office seeks a teammate who is excited to jump into our fast paced, world-renowned firm.  First impressions are key at BCG, and as the Concierge Specialist, you will be the face of the office to all visitors, vendors and clients, warmly welcoming them with enthusiasm and exceptional customer service.  This position is a highly visible role and a key member of the broader Nashville Office Experience team.  The Concierge Specialist is essential to the culture of the Nashville office and is based in the office Monday through Friday.

 

Under supervision of the Nashville Business Management Senior Director, the Concierge Specialist performs multiple tasks including, but not limited to:

Working in collaboration with the NAS Business Services Team to ensure the smooth day-to-day operation and consistent high level of customer experience and support services for the NAS office.Acting as first point of contact for guests and local office staff as the face of BCG Nashville by greeting and directing folks professionally, offering amenities and managing the concierge desk and phone.Covering and coordinating in-office meetings by handling room reservations, catering, room set-up, coordination of AV needs with IT team, meeting any miscellaneous requests from visitors, etc.Maintaining the general appearance of local office and office equipment, including stocking and maintaining kitchens and all common areas, fulfilling meeting/event and print job requestsSupporting the broader Nashville Business Service team but helping build local office affiliation, assisting with building services requests, and performing other tasks as necessaryManaging Digital Tools, such as internal security system, room reservation software, and digital signage

Concierge (Reception):

Receiving visitorsHandling all meeting related food order and needsBooking conference roomsScreening and transferring all incoming callsSigning for all packagesArranging for transportation for guests or visitors (call for car or taxi)

Building/Equipment/Facilities/Maintenance:

Maintaining general cleanliness of office space (including conference rooms and common areas) on a daily basisOrganizing and maintaining all public storage areasAssisting with coordination, set up, and cleanup of all office eventsEnsuring offices and conference rooms are clean and equipped for use on a daily basisAssisting staff on use of office equipmentCoordinating with building management on housekeeping/maintenance requests, visitor access, after hours requests for extended HVAC, etc.Monitoring working order of office equipment and working with IT to place service calls when necessaryStocking paper daily on all printers and faxesMaintaining cleanliness of and inventory in Mother’s RoomDeveloping and maintaining good relationships with service vendors

Kitchen/Supplies:

Stocking food, drinks, and paper/plastic supplies in kitchensTidying up kitchens and all common areas including running and emptying dishwasherCleaning, setting up, and maintaining all appliances (coffee/espresso machines, refrigerators, microwaves, etc.)Receiving, stocking, and monitoring office supplies

             o    Keeping an organized central supply closet

             o    Stocking all printer stations with paper and toner cartridges daily

             o    Stocking conference rooms with paper, pens, etc.

Maintaining inventory of all office supplies and reordering when necessarySetting up and taking down periodic all-staff lunches

Document Handling:

Collecting and distributing mail, faxes, messages, paperwork, and other documentsSorting and processing all mailing services, including UPS/FedEx and general postageArranging courier service for package pick-up and deliveryProcessing large copy and binding jobsCoordinating shredding servicesMonitoring printer stations and public office spaces to ensure documents are handled per the firm’s document retention and confidentiality policies

Conference Room/Meeting Management:

Ordering and setting up food/beverages for special events/meetingsCoordinating and provisioning AV, Video, and other special equipment requirements for conferences and meetingsEnsuring presentations, video conference, and/or dial-in lines are up and running prior to each meetingEnsuring conference rooms are clean before and after each meeting

Other Administrative Tasks:

Providing logistics support as needed for office eventsProcessing and cataloging office experience costs for timely budget reportingEnsuring office documents such as the Business Continuity plan, intranet page, face page, etc., are continuously updated and relevantProviding recommendations for improved office processesPartnering with the Talent Acquisition and Admin Services team on various projects and initiativesPerforming other duties as assigned or required

What You'll Bring

Minimum of 2-3 years of office operations/facilities experience, or equivalent, preferably in a professional services firmHospitality experience or College degree preferredStrong service orientation and hospitality mindset, sensitivity to responding to customer needsStrong attention to detail and accuracy, particularly when under pressureAbility to work periodic overtime hours as neededExcellent communication, analytical, and stakeholder engagement skillsAbility to work both independently and with a teamWillingness to take ownership and an openness to feedbackAn “up for anything” attitude and willingness to go above and beyond what is written in this job descriptionAbility to prioritize work to balance multiple projects and make every deadlineA high degree of integrity, a positive attitude, and the ability to maintain absolute confidentialityA strong work ethic.  You exude calm under pressure and drive consensus in tough momentsProficiency in Windows, Word, Excel, PowerPoint, Outlook, and ability to quickly learn new applications and technology tools

Compensation Information:  

Total compensation for this role includes base salary, annual discretionary performance bonus, contributions to BCG’s Profit Sharing and Retirement Fund (PSRF), and a market leading benefits package described below.
