This is a great opportunity to join a fast-growing AIFM and contribute actively to its development and evolution. The Conducting Officer – Portfolio Management & Distribution Oversight will report to the Head of AIFM.
The position
As Conducting Officer – Portfolio Management & Distribution Oversight you will be responsible for a wide range of activities. Your responsibilities will include but will not be limited to:
Providing regular updates to the other conducting officers and the governing body, i.e. the board Providing reporting to the CSSF and to the investors Acting as a key point of contact with the CSSF in connection with portfolio management & distribution Correspond with regulatory bodies (CSSF, BaFin, FMA, auditors, etc.) and maintenance of related files Prepare external and internal audit and/or other periodic and/or ad hoc regulatory visits Run the Portfolio Management Team in managing the portfolio activities of the AIFM for a wide range of investment strategies (private equity / real estate / infrastructure / debt / fund of fund / other type of investment strategies) in collaboration with the investment advisors, like: Work with the Investment Advisor in relation to deal sourcing and pipeline development Ensuring compliance with operational processes in the area of portfolio management and its components fund management Transactional oversight and selection of due diligence advisors (tax structuring, transfer pricing and interest rate benchmarks, financial, legal, technical and environmental, etc) Asset and Fund exit planning Budgeting and cash forecasting KPIs monitoring and reporting of the portfolio’s performance and its investment (incl. performance forecast) Investment Compliance of the Funds against the Fund Documentation and relevant legislation Ensure quarterly portfolio management reports for the AIFs and oversight the investment managers portfolio management activities in case of delegation Review the profile and business plan for potential investment opportunities (compliance with the AIF’s risk profile) Coordinate and conduct in the organization of investment committees Ongoing monitoring of investments’ compliance with applicable regulations and AIF’s documentation Perform due diligence on the delegated portfolio managers and investment advisors Maintaining the distribution oversight and marketing related policies, procedures, processes, SLAs, etc. to ensure the compliance with the applicable regulations and the internal processes Day to day distribution oversight (inter alia due diligence plan for the distribution delegates and marketing intermediaries, etc.) Drafting and reviewing of internal policies and procedures in relation with the portfolio management of the AIFM Ad-hoc tasks to assist the growth of the business and ensure smooth running of daily activities
Your profile
Have a university degree in Economics, Finance or similar fields You are already a CSSF approved Conducting Officer Professional qualifications (CFA, CAIA…) would be considered as an asset Have at least 10 years of relevant experience with a private equity / real estate asset manager or an AIFM In depth knowledge of private equity & real estate transactions (other investment strategies would be considered an asset) Have a excellent knowledge and understanding of the Luxembourg fund industry and AIFM regulations Have proven ability to work autonomously and demonstrate initiative Are also a team player with good communication skills Have analytical approach and strong MS Excel skills Proven ability to develop and implement programs, policies, and procedures Excellent communication skills, with the ability to clearly articulate complex issues to a range of stakeholders, including senior management, legal teams, and regulators A strategic mindset, with the ability to anticipate and mitigate risks while balancing business needs and objectives Strong analytical skills and attention to detail, with the ability to conduct thorough and accurate risk assessments and reviews Experience in managing relationships with regulators and external auditors Be proactive, organized and flexible Polyvalent, excellent ability to set priorities and respect and deliver within deadlines Positive, self-confident, open-minded, dynamic and long-term thinking Have strong drafting skills in English with a high level of accuracy and attention to detail; further language skills like French and/or German are considered as a plus Have a client focus with a solution mindset and a hands-on approach Have proven ability to work autonomously and demonstrate initiative Autonomous with an excellent team spirit with good communication skills
