Conference Service Executive
Job Description Conference Services Executive is responsible for coordinating and supervising assigned group business after it is booked by the sales department, and through completion of the event or function, while maintaining profitable operations and high-quality products and service levels. 
He/She will be also responsible for acting as a liaison between client and operating departments; external coordination with the contact person and internal operating with the different departments of the Hotel process all the details of each confirmed Group to ensure a successful meeting and to generate repeat business. The Conference Services Executive is in charge of the correct invoicing and final payment of the services contracted for the group. He/She will ensure an efficient and flexible function of the Groups area, covering the functions of planning and coordination of banquet and accommodation services, ensuring that the benefits are maximized in the most profitable way according to the objectives set and offering a professional efficient and personalized service during all times, according to Rosewood Villa Magna standards.
Functions:
A Group Conference & Events Sales Executive at an international luxury hotel typically has a dynamic and multifaceted role. Here are some of the key day-to-day activities:
-Event Coordination: Coordinating all details for events, including food and beverage, IT/AV equipment, entertainment, and themes. Ensuring all client requirements are met and exceeded.-Follow-Up: Following up on all inquiries, preparing proposals, and facilitating show rounds for clients to showcase the hotel's facilities.-Client Interaction: Handling guest and client inquiries efficiently and courteously, ensuring all requests and complaints are addressed promptly.-Team Collaboration: Working closely with related operational departments to ensure guest requests and expectations are met. Promoting teamwork and quality service through daily communication and coordination.-Customer Service: Demonstrating a high level of knowledge to enhance the guest experience, being attentive to guests, and promptly fulfilling their requests.-Compliance and Standards: Ensuring compliance with hotel rules and regulations, grooming and uniform standards, and health, safety, and security policies.
This role requires excellent communication skills, a proactive approach to sales, and the ability to build and maintain strong client relationships. It's a dynamic position that plays a crucial part in the hotel's success.
What We Need From You:
Ideally, you'll have some or all of the following competencies and experience we're looking for:
-Education: Bachelor’s degree, higher education qualification or equivalent in Hotel Administration / Business Administration.-Two to three years of experience in a similar role.-International luxury hotel chain background.-Spanish & English Fluency is required.

-Excellent reading, writing and oral proficiency in the English language-Strong interpersonal skills-High level of creativity-Attention to detail-Ability to handle multiple tasks and make decisions in a fast-paced client driven environment-Sales and Catering Computer Software, MS Word, Excel
