Conference Services Associate, Penguin Random House - (Hybrid)

Penguin Random House, home to best-in-class storytellers, seeks a Conference Services Associate to join our collaborative Conference Services team. With events ranging from San Diego Comic-Con, the American Library Association Annual Conference, and First Year Experience, each of which rotates between cities across the US, and international shows like the Frankfurt Book Fair and the London Book Fair, the associate would play an essential supporting role in ensuring event operations are managed and executed efficiently, cost-effectively, and with the goal of exceeding expectations for our internal and external customers.

 

The associate will partner with team members, as assigned, for pre-show, on-site, and post-show tasks for events.

 

To succeed in this position, candidates must demonstrate effective time management, an eye for detail, the ability to juggle multiple projects with concurrent deadlines, adapt to fast-paced environments, and the ability to communicate clearly and proactively with internal and external partners. In addition, the associate must be able to take the initiative to quickly identify and adapt to challenges and the ability to find answers and create solutions.

 

The position of conference services associate at Penguin Random House is a hybrid position with in-office responsibilities, two days a week. We will consider candidates who can work from a commutable distance to our offices at 1745 Broadway.

The Role:

 

Partner with other team members, as assigned, to provide support with pre-show planning and onsite, as needed, execution of PRH trade shows, conferences, and book fairs participation Provide end-to-end program management: managing budgets, securing contracts, coordinating shipping, booth builds, catering orders, room blocks and graphics Research and recommend new vendors Responding to inquiries for in-house conference rooms and scheduling Take part in maintaining the team’s overall systems organization Responding to inquiries for offsite room blocks and meetings

 

The Essentials:

 

1+ years of experience to be considered either through internships and/or practical work experience Interest in the logistical aspects of event planning, working with a wide array of stakeholders, and reaching audiences at live events  Due to the nature of the role, the ability to lift and push heavy boxes and event materials of more than 20 lbs. is required Ability to travel by plane or train as needed to events for multiple program days, work the expo floor, and have an active role in booth staffing as needed Excellent verbal and written communication A self-starter fluent in multi-tasking with impeccable attention to detail and efficient organizational skills  The ideal candidate is proficient in MS Office, particularly MS Outlook and Excel, as well as video conferencing platforms, such as Zoom, Webex, and Microsoft Teams

 

The salary for this position is $56,000.  All positions are currently eligible for annual profit award or bonus, subject to Company results.
