Conference Services Coordinator
About the Role
The Conference Services Coordinator plays a crucial role in the success of all meetings and events held at the Resort. The successful applicant will provide essential administrative support ensuring the smooth and efficient execution of all meetings and events.
What you will do:
Administrative Support: Manage event-related databases and records.Assist with contract preparation and execution.Prepare and distribute event orders and timelines to relevant departments.Coordinate with vendors (e.g., florists, musicians) as directed.Handle meeting planner inquiries and respond to requests promptly.Prepare meeting room layouts and diagrams.Assist with post-event evaluations and reporting.Maintain accurate records of all event-related activities. Event Day Support:Assist with on-site event setup and breakdown as needed.Provide general support to the Conference Services Coordinator during events.Ensure event spaces are properly prepared and maintained.Duties as Assigned: Assist with marketing and sales efforts as directed.Stay updated on industry trends and best practices.Perform other administrative duties as assigned.What you will bring:
High School Diploma or equivalent required. Associate's or Bachelor's degree in Hospitality Management, or a related field preferred.Minimum 3 years of experience in a meeting planning or hospitality environment.Excellent communication, interpersonal, and customer service skills.Strong organizational and time-management skills with the ability to prioritize and multitask effectively.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Ability to work independently and as part of a team.Strong attention to detail and accuracy.Flexibility to work evenings and weekends as required.Key Competencies:
