Responsibilities The Conference Service Manager is responsible for the planning and coordination of group meetings, activities, and events once the group is turned over by the sales and programming teams. The Conference Services Manager oversees all events, from pre-arrival planning to on-site coordination when the group is in-house. Guides planners through all available group wellness experiences and services to ensure they have the best meeting or event possible. Acts as a liaison between clients and operating departments to ensure a successful and engaging program. Creates detailed and complete banquet event orders to communicate event set up, AV needs, Food and Beverage needs and programming. Communicates all needs of the group through the group Resume. Conducts weekly BEO meeting with the Operations Teams and Resume meetings with all operating departments. Works with all Department heads to ensure the groups' expectations are met or exceeded. Offers creative solutions and ideas to make every group experience memorable and unique. Creates retreat agendas and works with internal departments and external vendors to provide memorable experiences. Works closely with the programming team to execute immersion programs, acting as a liaison between programming and operating departments to ensure successful program. Establishes rapport and maintains contact with all group clients to encourage repeat business. Maintains consistent and effective flow of communication between fellow managers and colleagues. This position reports to the Director of Operations and manages a small team. Group Preparation and Execution: Responsible for the planning and coordination of group meetings, activities, and events once the group is turned over by the sales and programming teams. The Conference Services Manager oversees all events, from pre-arrival planning to on-site coordination when the group is in-house. Guides planners through all available group wellness experiences and services to ensure they have the best meeting or event possible. Manages guestroom blocks, collects rooming lists and ensures contract terms are met. Directs the set-up of banquets and meetings to ensure the quality-of-service standards are achieved. Works closely with the programming team to execute immersion programs, acting as a liaison between programming and operating departments to ensure successful program. Communication: Primary contact for group leaders/planners once contract has been turned over. Acts as a liaison between clients and operating departments to ensure a successful and engaging program. Creates detailed and complete banquet event orders to communicate event set up, AV needs, Food and Beverage needs and programming. Communicates all needs of the group through the group Resume. Conducts weekly BEO meeting with the operating departments and Resume meetings with all operating departments. Works with all Department heads to ensure the groups' expectations are met or exceeded. Sales Activity: Offers creative solutions and ideas to make every group experience memorable and unique. Creates retreat agendas and works with internal departments and external vendors to provide memorable experiences. Upsells where opportunities are appropriate to higher room category, welcome gifts, private group activities, meeting room rental, F&B, décor and entertainment. Administrative: Administrative: Maintains accurate records of all activities in Delphi. Receives and enters rooming lists. Prepares written correspondence, welcome letters, custom menus and agendas. Responsible for the compilation and tracking of all cancellation/attrition charges for group. Works with accounting to make sure final bills are timely and accurate. Qualifications Minimum 3-5 years related experience. Must have previous people management experience. Valid drivers license and ability to meet Group B driving requirements.
