Construction Lead Administrative Assistant (Marina Del Rey)
Job Description

Job Summary  
The Lead Administrative Assistant will primarily support the Executive Director and Project Team for Construction. Performs specialized administrative and general office activities in order to establish and manage the facilitation of administrative workflow within the department and/or unit. The Lead Administrative Assistant will responsible for arranging their schedules, appointments and itineraries.

Key Job Responsibilities

Leads, assigns and reviews the work of other department staff engaged in a full range of office activities. Provides coaching and feedback.Provides administrative support to one or more department leaders, which may include arranging schedules, appointments and itineraries. Coordinates meetings including preparation of agendas and logistics.Establishes and monitors the administrative workflow and procedures for a department and/or unit.Leads projects, processes, and/or daily operations and department tasks.Submits, monitors and tracks invoices, reimbursements, and supply management. May assist with preparation and submission of expense reports.Schedules appointments and meetings. Makes arrangements for meetings, conferences, or travel for an individual, group, or department. Coordinates with internal departments and external vendors, as necessary for all event logistics.May be responsible for onboarding new hires including new hire preparation (e.g. equipment/supply orders) communicating expectations, providing work instruction/training, and department-specific information.Liaison with security team for badging vendors and contractors on premisesMay be responsible for maintaining par levels of department supplies.



Qualifications

Educational Requirements:

High School Diploma/GED Required
Assoc. Degree/College Diploma Preferred

Licenses:

No license or certification required

Experience:

4 years    Office and administrative experience

Physical Demands: 

Perform continuous operation of a personal computer for four hours or more

Use hands and fingers to handle and manipulate objects and/or operate equipment.
