Construction Office Administrator

We are seeking a dedicated and organized Office Administrator for our Corporate Office’s business center to manage customer accounts and support our construction projects from start to finish.

Position Summary:

The Construction Office Administrator will be responsible for overseeing customer accounts throughout the lifecycle of construction projects. This role involves coordination with the accounting department for billing, collections, and payments, and ensuring seamless communication between customers, technicians, and managers. The ideal candidate will be detail-oriented, able to handle high volumes of work, and proficient in multiple CRM systems and portals.

Key Responsibilities:

Own and manage customer accounts from initiation to completion for construction projects.Serve as the primary point of contact for customers, addressing inquiries and ensuring their requirements are met.Coordinate with the accounting department to handle billing, collections, and payments.Enter invoices, progress billings, AIA billings, and track payments and collections.Monitor and report on warranty work versus non-warranty work.Assist in defining and documenting the scope of work for each project.Work closely with technicians and managers to dispatch and allocate resources.Ensure all quotes and technical components are properly numbered and documented.Enter and update information in multiple CRM systems and portals.Track and update project progress, billing, and other critical project details.Process lien waivers and other necessary documentation.Enter and manage progress and percentage of completion billings.Prepare and finalize close-out documents, ensuring all internal and customer records are up-to-date.Maintain regular communication with internal teams and customers to provide updates and resolve issues.Prepare reports on project status, billing, and other key metrics as required.

 

Qualifications:

High school diploma or equivalent; associate’s degree or higher in business administration or related field preferred. Any combination of education and experience may be considered.Proven experience in an administrative role, within the construction or related services industry.Proficiency in using CRM systems and multiple portals.Strong organizational skills with the ability to manage high volumes of work and large accounts.Excellent communication skills, both written and verbal.Ability to work independently and as part of a team.Strong attention to detail and problem-solving abilities.
