Your role on our team: 

The Site Coordinator play a key role in supporting construction site operations by serving as a liaison between homeowners, site teams, and municipal officials. This role ensures seamless communication, documentation accuracy, and efficient coordination of home-building activities. The Site Coordinator is expected to uphold Minto's core values by delivering an exceptional homeowner experience while maintaining a professional and courteous demeanor. 

Key Responsibilities and Accountabilities:

Homeowner Support

Proactively assist homeowners to ensure a smooth and positive experience.Provide professional, courteous, and customer-focused interactions at all times.Greet homeowners in the construction trailer and direct them to the appropriate Site Supervisor.Respond to homeowner inquiries via phone and email within one business dayAssist in coordinating and scheduling homeowner touchpoints, including construction meetings (e.g. Meet the Builder, Frame Walks, Key Pick-up).

Site Coordination & Documentation

Support the General Site Supervisor and site team as needed.Maintain and update records in NewStar, including stair layouts, RSO, and kitchen layouts.Upload and track city inspection records in NewStar.Provide weekly closing lists and track changes made to closings.Prepare and distribute weekly production schedules and closing lists.Ensure NewStar production schedules are current by inputting and updating production dates.Take minutes during biweekly production meetings and distribute them accordingly.Upload necessary documentation (e.g. Meet Your Builder, Frame Walk, and PDO forms) into NewStar

Material & Resource Management:

Order site supplies and materials (e.g. vents, general site materials) as required.Create purchase orders at the request of Site Supervisors for General Site Supervisors approval.Support site staff and trades by ensuring necessary materials and equipment are available.

Reporting & Compliance:

Generate and review weekly closing lists, tracking any modifications.Run weekly aging reports for Site Supervisors.Close out MPDI and PDO items in NewStar to maintain accurate reporting.Schedule concrete testing based on Foundation Supervisor recommendations.Track and update weekly timesheets for site employees. 

 

We would like you to have:

Education:

Minimum: High school diploma.Preferred: College diploma or certificate in a related field

Experience:

Minimum: 2+ years of relevant experience in a construction, site coordination, or customer service role.On-the-job training will be provided

Skills, Knowledge, and Abilities:

Proficiency in Microsoft Office (Word, Excel, Outlook)Basic knowledge of residential construction processes.Experience with NewStar (an asset but not required).Strong communication skills (listening, verbal, and written).Ability to prioritize tasks and work independently.Highly dependable, organized, and detail-oriented.Flexible and adaptable, with the ability to shift between tasks and projects. Bilingualism is an asset (French/English preferred).
