What you will be doing:
The US Records Management Office oversees the proper handling of CIBC records for regulatory and operational requirements. This position is responsible for working with LOBs in managing Records through their lifecycle by ensuring compliance to US Region Records Management policies, standards, and processes. In addition, this position will also be responsible for addressing the governance and control aspects of the team’s responsibilities.

How You’ll Succeed
Governance and Compliance – Monitor adherence to records management standards and best practices across the organization through the US RMO’s supervisory responsibilities. Develop, implement and maintain records management procedures to ensure compliance with enterprise policies. Develop procedures for existing processes occurring within the team.
Risk Management – Identify potential risks related to records management and assist in the development of strategies to mitigate these risks. Work with the Enterprise and various infrastructure areas to assess records management risks associated with procurement of new vendors as well as the implementation of internal processes and new initiatives including meaningful participation in the Third Party Risk Assessment (TPRA), Change Initiative Risk Assessment (CIRA) and Technology Triage processes. Assist the Records Management team in ensuring the level of records management risk outlined in the SBU’s Annual Risk and Control Self-Assessment (RCSA) is relevant and appropriate.
Reporting and Documentation – Prepare status reports on records management testing activities, compliance status and audit findings for management review.
Records Lifecycle Management – Assist in overseeing the lifecycle of Records from identification to disposition, ensuring proper classification, retention, and secure disposal of records. Assist in collaborating with Legal, Compliance and front line on the update of the Bank’s record retention schedules.
Training and Support – Provide training and support to staff on records management policies, procedures, testing and best practices. Act as a point of contact for records management inquiries and provide guidance to employees.
Project Management – Lead and / or participate in records-management related projects.
Client Engagement – Work with our LOBs to help them comply with records management policies through training, remediation guidance where compliance gaps exist.
Relationship Building – Develop relationships with partners in the Enterprise Records Management team, Operational Risk, Governance and Controls, Third Party Governance Office as well as those putting forward CIRAs, Tech Triages, Risk Control Self Assessments (RCSAs), to ensure that records management considerations are integrated into these broader risk management frameworks.
Leveraging Technology – Invest time in becoming proficient in CIBC’s approved records management repositories (e.g., OpenText, SharePoint Online with Records Management) to provide informed guidance to internal partners. Where appropriate, create user-friendly resources, such as FAQs and how-to guides, that help teams navigate and utilize these systems effectively.
Strategic Minded – Review and refine the existing internal control and risk assessment framework to ensure it aligns with organizational goals and regulatory requirement. Implement a continuous improvement process that allows for regular evaluation and enhancement of records management practices. Develop clear communication strategies to disseminate information about records management policies, procedures, and updates to all relevant stakeholders. Utilize various communication channels (e.g., newsletters, SharePoint updates, team meetings) to ensure consistent messaging and engagement.
Who you are:
You must demonstrate 5-7 years of related work experience in Records Management, Operational Risk or Governance and Controls. You have familiarity with all of the basic MSFT 365 tools with Power Automate / Power BI and approved records management repositories (e.g., OpenText, SharePoint Online with Records Management)
You have a degree/diploma in business or information management or a related field.
You are a strong communicator. You have excellent interpersonal, communication (oral and written) and problem-solving skills, including effective engagement with all levels of the organization.

At CIBC, we offer a competitive total rewards package. This role has an expected salary range of $90,000 - $110,000 for the market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which may also include a discretionary bonus component.
