Role description:

A Contract Administrator plays a crucial role in ensuring that contractual agreements are managed efficiently and effectively. In essence, a Contract Administrator is responsible for safeguarding the Client’s interest by ensuring that contracts are well managed and Contractors & other service providers deliver services as agreed.

Role accountabilities:

Contract Management:

Administer the construction contract (s) on behalf of the owner/client, typically for a government agency/municipality. Monitoring contract performance to ensure compliance with terms and conditions. Monitor the progress of the work and provide updates to the owner.  Handling contract disputes and resolving issues that arise. Managing contract renewals, extensions & terminations. Resolve construction issues through the RFI, Site Instruction and Change Order Processes. Site inspections when required to verify site conditions, work completion and contract specifications compliance. Managing contract Budget & Schedule and proactively mitigate or report deviations and exceptions to relevant parties & stakeholders.

Financial Management:

Administer payment and resolving claims with the contractor. Reviewing & approving contractor/subcontractors’ invoices and payment requests. Prepare reports, usually of a financial nature, relating to contract costs, incremental contract funding, number/dollar value of contracts received in given time-period, and project status reports.

Collaboration & Communication:

Liaising with the Client, Contractors, municipal departments, utility companies, ROW authorities and other relevant stakeholders. Facilitating/Leading meetings and negotiations. Communicating contract requirements and requirements to relevant parties.

Compliance & Risk Management:

Ensure contracts comply with relevant laws, regulations and municipal policies. Identifying and mitigating potential Risks & Issues associated with Contracts using Risks & Issues Registry or other contractual or acceptable means. Maintain accurate contract records and documentations. Overseeing the Quality Assurance program and administering Non-Conformances to the work.

People Management:

Manage and supervise the inspection and administration staff working on the project. Perform other responsibilities associated with this position as may be appropriate.

Qualifications & Experience:


A combination of the following education experience is required:

Degree or Diploma in Construction Management or Civil Engineering, and/or combination of related experience 5+ years of experience in construction administration PEO or OACETT registration in good standing Knowledge of the Contract Administration requirements  Knowledge of applicable design standards, OPS specifications, standard drawings, and quality control / quality assurance material testing methods Knowledge of the application of transportation construction practices and methods including the applicable quality assurance procedures Proven analytical, communication, and negotiation skills.
Effective organizational and interpersonal skills. Ability to utilize computer software such as MS Word, Excel, including experience with specific software and with material payment calculation methods. G License required

The salary range for this position is $78,00 - $117,000. The base salary represents Arcadis’ hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
