Contract Coordinator

Job Title: Contract Coordinator

Hours:  8:30 AM – 5:00 PM M-F
Pay Range: $31-$36/hr. (based on experience)
Duration: 6 months, possible extension to 1 year
Location:  Camden, NJ

Duties and Responsibilities: Understand contracting requirements and ensure that all documents are accurately completed and submitted in a timely manner. Coordinate and schedule meetings and site visits as needed. Maintain proposal tracking systems including but not limited to files, spreadsheets and correspondences. Receive and review approved project/program plans, scopes of work, proposals and invoices to verify conformance and identify and document errors and irregularities. Prepare draft correspondences summarizing review findings and recommendations. Confirm completion of projects and log close-out information. Attend and participate in meetings regarding projects status. Review invoices, prepares requisitions and purchase orders, and tracks activities related to vendor/contractor payments. Maintain and monitor requisition and purchase order balances to assure that overspending does not occur Reconcile financial information pertaining to proposal and contract administration, including projects/programs, requisitions and purchase orders. Review, track, and compile documents in response to OPRA requests. Independently research and resolve a wide variety of information requests. Prepare and analyze trends and regular reports, gather and summarize data. Provide additional support on general matters and performs special projects as requested.
Qualifications: Bachelor’s degree in communications, business administration, finance or related field from a US Department of Education accredited college or university or six (6) years of applied experience in related field(s). At least 1 year of experience in contract or construction administration, procurement, or paralegal or financial role is preferred. Experience related to public transportation a plus. Skills • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Ability to create new Excel spreadsheets is required. Excellent organizational skills. Excellent interpersonal, written, and verbal communication skills are required.
