Insight is seeking a self-motivated Contracts Specialist to join our team. The successful candidate will provide support for various Services contracts, which may include statements of work ("SOWs"), change requests, and more. Responsibilities of this role include managing the overall internal process for document creation in order to meet required deadlines; proofing and editing document content and drafting custom language, as needed; collaborating with inter-department teams; obtaining required approvals and signatures, as needed; and finalizing executable contract documents. The ideal candidate will be able to work independently and with little supervision, managing work assignments in a workflow tool and addressing any concerns or requests by deadlines.

 

CSOWs/VSOWs/Change Requests:

Function as internal project manager, tracking contract project through internal process of creation, approvals, and finalization to ensure document deadline is met. Using various communication forums (email, phone, instant messaging, team chatting) to accomplish objectives and keep contract projects moving forward to completion. Assist internal project team with any system work as needed to move project forward, performing project team steps in the system, editing documents, uploading proof of approvals obtained on their behalf when they are unable to access due to travel, network issues, etc. Assist internal project team with information gathering and escalations in order to meet deadline requirements. Ensuring compliance requirements are met. Proofread and edit all content, ensuring language is clear and concise, and meets Insight requirements. Apply critical thinking to content input, determining most effective and efficient route to document completion; modification and customization of standard language may be required. Apply writing skills to communicate complex concepts in clear, concise language. Obtain required internal stakeholder approvals, including but not limited to business units, finance, legal, compliance, credit, and executive leadership. Work with vendor input files and SOW documents of varying format, quality and completeness, using critical thinking skills to ensure terms of executable document are correct and consistent, and that the content of the executable vendor document flows to executable client document to minimize risk to Insight, as applicable. Work with client-specific document modification requirements and templates of varying format, quality and completeness, using critical thinking skills to ensure all Insight’s required services language and terms are inserted and formatted properly, as applicable. Finalize contracts for presentation to vendor or client. Work independently and with little supervision, managing work assignments, addressing any concerns/requests by deadlines and escalating to team for assistance before deadline approaches, as needed. Proactively utilize internal reporting to monitor team workload and offer assistance to teammates to facilitate workload balance, taking overflow projects as needed. Utilize problem-solving skills to provide effective issue resolution while adhering to process. Apply critical thinking to interpret next step requirements based on various communications and live document editing. Processing document modifications from client, internal project team, and stakeholders. Provide back-up support to other teammates’ workloads, using internal workflow tool and team email boxes; must have ability to investigate current status and make positive progress forward, while still addressing individual responsibilities and tasks. Ability to multi-task, managing multiple contract projects simultaneously. Ability to proactively address tasks and issues.

 

What you'll need to succeed:

Bachelor's degree in a business-related field. 2-3 years of experience in contract management and/or technical marketing/writing, or equivalent combination of training and experience. Responsive, client-focused attitude; self-motivated with excellent organization, planning, and time management skills. Prior SOW development, contract administration and/or technical writing experience. Apply critical thinking to problem solve and flexibility to interpret processes to specific project. Proficient computer skills (Microsoft Office, Document Workflow Management systems). Excellent written and verbal communication skills. Excellent interpersonal skills; ability to communicate effectively and professionally with clients, peers, and management. Ability to efficiently collaborate with internal teams to complete tasks. Ability to work autonomously with little supervision. Ability and willingness to work as a team player. Ability to produce a customized document for a particular client or project (cannot simply follow predefined processes); has ability to choose most efficient way to respond, based on requirements and sales/services input. Ability to apply quick thinking to problems and constraints on meeting project deadline and flexibility in approach to communication styles and problem-solving. Ability to multi-task, managing multiple projects simultaneously to meet deadlines. Ability to work under tight deadlines and high pressure in an ever-changing environment, with ongoing interruptions. Ability to proactively address tasks and issues. Ability to work with remote teams and across time zones to foster a cohesive work environment. Detail-oriented with great organizational skills and comfort with ambiguity. Ability to manage multiple exceptions to standard processes in order to address custom business and/or client needs.
