Contractors Program Administrator (Contracts Administrator)

The Contractors Program Administrator will work from the Solid State Phased Array Radar System (SSPARS) Program Management Office (PMO) and provide administrative support for the management and oversight of the contract across six CONUS and OCONUS sites. The Contractors Program Administrator will play a critical role in supporting the Program Manager and Quality Program Manager in ensuring that the contract requirements are met efficiently and effectively. The Contractors Program Administrator will act as a liaison between the Government, Program Management Office (PMO), site teams, and other stakeholders, managing communication and documentation to facilitate smooth operations. Responsibilities Major Job Activities: Provide administrative support to the Contractors Program Manager and Contractors Quality Program Manager to ensure smooth execution of contract requirements. Maintain and update program documentation, including schedules, reports, and correspondence, ensuring all records are accurate and up-to-date. Serve as the point of contact for administrative queries from site teams, the PMO, Union / CBA personnel, and otherexternal stakeholders, ensuring timely and accurate responses. Coordinate and organize meetings, including scheduling, preparing agendas, taking minutes, and distributing follow-up actions. Track project deliverables, ensuring they are submitted on time and meet the quality standards specified in the contract. Manage time and attendance records for all PMO-based staff and ensure these records are accurately maintained. Assist with the preparation and presentation of monthly reports to the Contractors Program Manager, Contractors Quality Program Manager, and other stakeholders as required. Maintain a calendar of program events and deadlines, ensuring that all team members are aware of upcoming commitments and deliverables. Facilitate communication between the PMO and site teams, ensuring that information flows efficiently and effectively. Assist in the development and maintenance of the Quality Control Plan and other program-related documentation. Support the Contractors Program Manager and Contractors Quality Program Manager in tracking and managing program risks, issues, and changes. Assist in the preparation of project proposals, budget estimates, and other project-related documents as required. Material & Equipment Directly Used: General office equipment. US Space Force (USSF) classified and unclassified computer systems (SIPRNET, NIPRNET). Working Environment: Typical office settings. Expected to participate in regular in -person and/or virtual meetings and may be required to travel occasionally to support site visits. The role requires flexibility to accommodate different time zones and potential adjustments to work schedules to meet program needs. Physical Activities: Sitting for long periods while reviewing and drafting contract documents. +V12+W12 computer keyboard for extended periods. Ability to lift and move office supplies or documents weighing up to 20 pounds. Qualifications Clearance Requirement: Must be a U.S. citizen and possess a DoD Top Secret security clearance or be eligible to obtain and maintain one. Experience / Skills: 8-10 years of experience in program administration or a related administrative support role, preferably within a government contracting environment. Experience maintaining and managing detailed documentation and records. Experience working with Union representatives and Collective Bargaining Agreements (CBAs) is a plus. Strong organizational skills with the ability to manage multiple tasks and prioritize effectively. Excellent written and verbal communication skills, with the ability to interact professionally with a diverse range of stakeholders.
