Position: Contracts Administrator

Role Summary: The Contracts Administrator will play a pivotal role in ensuring contractor compliance and support within BGIS. This role involves interfacing with internal and external vendors, managing computerized maintenance management systems (CMMS), and supporting various teams to ensure seamless contract administration and compliance.

Key Responsibilities:

Serve as the primary point of contact for vendors, interfacing with all internal and external stakeholders related to the contract. Ensure contractor compliance with contract terms and conditions. Monitor and track contract variations as needed. Assist with the management of CMMS for preventive and reactive maintenance, ensuring the currency of information. Systems include Evolution and Manhattan. Ensure timely document uploads to Evolution by contractors, including Safe Work Method Statements, Authority to Commence Work (ACTW), Service Dockets/Reports, Payment Claims, High-Risk Permit Applications, and Quotations. Review uploaded documents for compliance and follow up with contractors as necessary. Support the National Account Director, Commercial Director, Subcontractor Manager, Finance Manager, Regional Service Managers, and Facilities Managers with daily tasks. Process incoming purchase orders and invoices, ensuring all necessary CMMS approvals are obtained. Ensure compliance with OHS & E policies and procedures by all stakeholders.

Qualifications & Experience:

Essential:

Strong demonstrated experience in a similar administrative role. Ability to respond quickly to change and adopt a flexible, innovative approach to problems and opportunities. High-quality written and verbal communication skills. Proven ability in providing detailed written reports. Proficiency in computer software including Word, Excel, Outlook, and Internet access. Minimum Higher School Certificate or equivalent. Relevant formal qualifications such as a diploma or certificate equivalent in Administration or Management.

Desirable:

Experience in Building, Mechanical, Electrical, Project Management, Services Engineering, or Facilities Maintenance Management. Understanding and experience with CMMS (Computerised Maintenance Management Systems). Training in OH&S, QA, and environmental-related disciplines.
