Control Desk Coordinator
Position Summary:

The OR Desk Control Coordinator plays a critical role in the efficient operation of the Operating Room (OR) by managing scheduling, coordination, and communication between surgical teams, patients, and hospital departments. This position ensures that surgeries are scheduled appropriately, resources are allocated efficiently, and that the OR environment remains organized and prepared for each surgical procedure.

Key Responsibilities:

Scheduling & Coordination:

Oversee and manage the scheduling of surgical cases, ensuring that OR times are properly allocated and optimized for surgeons and staff. Coordinate with surgeons, anesthesiologists, and nursing staff to ensure that all resources, equipment, and supplies are available for scheduled surgeries. Monitor and adjust surgical schedules in real-time based on changes, cancellations, or emergencies.

Communication & Liaison:

Serve as the central point of contact for surgical teams, ensuring clear and timely communication between the operating room, surgical staff, and other hospital departments. Notify patients and their families of surgery schedules and provide updates as needed. Address inquiries from surgical staff regarding cases, equipment, and support needs.

Resource & Equipment Management:

Monitor the availability of necessary equipment, instruments, and surgical supplies for scheduled surgeries. Collaborate with the surgical supply chain team to ensure proper stock levels and timely delivery of required materials.

Patient Flow & Safety:

Ensure that patient flow through the OR is seamless, with a focus on minimizing delays and ensuring patient safety. Maintain patient records and ensure proper documentation is available for each case, including consent forms and pre-operative instructions.

Administrative Support:

Perform clerical duties such as filing, record-keeping, and maintaining patient schedules. Assist in tracking case volumes, cancellations, and other performance metrics related to OR operations.

Compliance & Quality Assurance:

Adhere to hospital policies and procedures, ensuring compliance with safety, sanitation, and regulatory guidelines. Assist in maintaining a high standard of care in the OR through proactive scheduling, preparation, and communication. Qualifications: Education: High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration, nursing, or related field preferred. Experience: Previous experience in a healthcare setting, particularly in an OR environment, is preferred. Experience in scheduling, patient coordination, or administrative support in a clinical or hospital setting is highly beneficial. Skills: Strong organizational and multitasking abilities. Excellent communication skills, both written and verbal. Ability to work effectively in a fast-paced, high-pressure environment. Proficient in using medical scheduling software, electronic health records (EHR), and Microsoft Office Suite. Knowledge of surgical procedures, equipment, and protocols is a plus. Work Environment: This position is primarily based in the Operating Room department, with frequent interaction with medical staff, patients, and hospital departments. It requires the ability to work in a fast-paced, dynamic environment and respond quickly to changes in the surgical schedule.
