We are looking for a well-organized and experienced coordinator to join the Theatrical Publicity Special Projects & Events team. The individual in this role will help with the logistics, planning and the coordination of all events.
Essential Responsibilities:
+ Administrative
+ Supports administrative duties for SVP (calendar, travel, phones, expenses, meeting requests)
+ Manages vendor payments and P-Card transactions
+ Lead for all executive communication:
+ Weekly Sr. executive communication
+ Sends invites/manages RSVPs
+ Manages ongoing communication
+ Event Elements:
+ Sets alignment meetings
+ Coordinates all parking needs – guests, staff and production
+ Handles ground transportation for talent and filmmakers
+ Lead for all travel and hotel arrangements
+ Drafts talent schedules (if needed)
+ Drafts general guest and executive confirmation letters
+ Creates staffing sheets, communications to staff and sets premiere meetings for staff
+ Creates and prints table tents for all filmmaker receptions/awards events
+ Preps Will Call – prints labels, sorts tickets, stuffs tickets, alpha Will Call
+ Manages all auction certificates and database logging + follow through
+ Confirms with outside departments events calendar (i.e., Publicity, Digital, Distribution, Security, Post-Production)
+ Team liaison for lunch, PTO, birthdays, calendar, office supplies, messengers, scheduling
+ 2+ years of experience in studio, agency or network events
+ Proficient in Microsoft Outlook
Eligibility Requirements:

+ Must be available to work overtime and extended hours as needed to work at Premieres/Special Events/Screenings and Awards Events

Additional Requirements:
+ Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

Salary Range: $50,000.00 - $60,000.00 (Not bonus eligible)
