The Importance of the Role
As a member of our business operations team, you will have the opportunity to work with an improvement driven team to support cross functional communication with scientific leads, purchasing, legal, procurement, and finance teams. This role is part of a growing department dedicated to ensuring contracting, purchasing, and vendor management are managed consistently with a biased to financial responsibility and harmonization. This role will act as a bridge to ensure efficient processing for activities within R/D.The Opportunity to Make a Difference

The ideal candidate is proactive, analytical, and highly organized. In this role, you will be responsible for –
Providing financial and contract support to assigned departments as needed:
Management of contracts and purchase orders: Manage contract requests and purchase orders for assigned functions, as well as for other functions on an ad hoc basisFile organization and management: Maintain files and operations related documentation (e.g. project/study tracking, contracts, change orders, budgets, invoices) in a centralized, organized mannerAccrual reporting: Work as a liaison between assigned functions and accounting team to report on and update monthly accruals based on project status, duration of activities, and total budgetBudget monitoring and forecasting: Assist with creation of the annual budget and reforecasting, as needed, using information from assigned functional areas regarding activities, timelines, deliverables, and costs; support monthly or ad hoc reviews of actual budget versus forecast Meeting Coordination, as needed: Coordinate meetings with internal groups and external parties (i.e. vendors, as applicable), addressing all necessary details and documenting outcomes and action items as needed.Vendor Management: Ensure when possible, scientists are harmonizing vendors, utilizing historic vendors with established relationships and ensuring supported maintenance of approved vendor list for regulated projects.Supporting development of efficient, harmonized business practices across different groups and departments.Supporting a centralized research and business operations function to facilitate the smooth flow of business activities using professionalism, confidentiality, superior organizational skills, high level of attention to detail, responsiveness, and forward thinking/anticipating next steps.Proactively looking for ways to make processes more efficient.More about You
3 years of successful experience in an administrative and/or business operations role strongly encouraged.Bachelors or Associates degree preferred.Excellent technical skills with Microsoft Office suite (Outlook, Excel, Word, PowerPoint).Experience in a bio-tech company preferred.Superior organizational skills including strong attention to detail and accuracy, the ability to prioritize and organize multiple projects, meet deadlines, problem-solve, and multi-task.Proven track record in performing well in a fast-paced environment.Must be collegial and a self-motivated high performer who brings positive attitude and energy to the job.Ability to work independently, anticipate next steps, and exercise confidentiality.Excellent communication skills are a must.What Now?
