The Coordinator for Global Talent will support the operational and administrative needs of the department with primary support tothe Vice President, Global Talent. Major responsibilities include calendar and travel management, invoice and expense coordination, office management and meeting coordination.
This role will be a critical member of the team to ensure the Global Talent teams are supported. The role will be based out of our New York City offices to foster on-site collaboration and will provide a range of administrative and project support, in addition to having accountability for budget management for the Talent function. Key Accountabilities:
Office Management/Team Support
Proactively manage daily calendar and resolve scheduling conflicts for Vice President, Global Talent. Book and prepare comprehensive travel arrangements (flights, hotels, car rentals, reservations, etc.). Responsible for coding departmental vacation schedules and time off; coordination of all timesheets. Create and update PowerPoint presentations, assist in the logistical preparation for meetings and interviews including reserving conference rooms, ordering meals, liaising with IT, etc. Support general office management includingoffice supplies inventory, coordination of accepting and signing for deliveries and packages, distribution of mailings and coordination ofshared materials across departments. Manage expense reports for the VP, coordinate departmental invoices, reconcile capital expenditure requests, and expense accounts, ensuring adherence to deadlines and policies. Manage team inboxes for general inquiries, directing them to appropriate teams and acknowledging receipt. Assist in the onboarding process for Global Talent team new hires, including setting up workstations, coordinating orientation schedules, and ensuring a smooth transition into the team. Maintain accurate and organized records of departmental activities, including meeting minutes, project documentation, and correspondence.Project Support
Provide ongoing support for special projects, events and key initiatives for Global Talent. This includes project coordination, event administration and execution. Run talent reports proactively and ad-hoc to provide data and insights into talent trends and processes. Coordinate and support team-building activities to foster a collaborative and engaging work environment. Support executive recruitment coordination, as needed. This includes interview scheduling, email communications, background checks and any necessary recruitment administration.Budget
Manage the tracking of the Global Talent budget, ensuring accurate and timely updates. Identify and support resolution of any budget discrepancies. Oversee invoice management for Talent teams, ensuring timely processing and payment. Provide support to the Talent teams with monthly reporting, questions, and guidance. Support with the administration and systematic inputting for the annual budget review.The hiring range for this position ranges from $30.43 - $41.17. The rate of pay offered will be dependent upon candidates relevant skills and experience.
Required Qualifications:
BA/BS Degree 3+ years of experience within HR or administrative roles Excellent communication skills, both verbal and written Demonstrated analytical ability Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Keen attention to detail to ensure accuracy in documentation, reports, communications and presentations Proficient in Microsoft Office software (Excel and PowerPoint) Ability to work across the team and with different levels within the organization keeping confidentiality as needed.Preferred Qualifications:
Previous experience supporting HR teams and/or a global talent function. Previous experience with HR systems, such as Oracle HCM. Previous experience with project coordination and/or event coordination.
