What You’ll Do:

Responsible for collecting and entering information into the Risk Management System for the purpose of generating internal accident, liability, physical damage, workers comp, cargo, and subrogation claims reports.  Operates as a triage unit and is the first point of contact for all accidents and safety related issues that occur, providing 24/7/365 coverage.

Answers incoming phone calls to the Risk Management Triage Call Center while maintaining an answer rate of 94% or better on the claims queue line.  Uses standard interview questions to collect information from callers to create a detailed accident description of how an accident occurred, (i.e., date, time, location, position of all vehicles involved, etc.) based on the caller’s statement of events. This process is followed on all incidents including accidents with or without bodily injury, damage to USX trucks and/or trailers, and damage to property by USX trucks. During extended shift coverage hours, the team also handles workers comp reports, and OS&D/cargo issues. The coordinator builds a claim file while talking to the caller using the Risk Management System. Evaluates information obtained from a driver that has been in an accident to determine if the driver will need D.O.T. required breath alcohol and drug testing. If testing is required, it is the claims coordinator’s responsibility to dispatch the 3rd party vendor that ensures the testing is done in the time frame allowed by the D.O.T.  Breath alcohol must be completed within 8 hours and the drug test must be completed within 32 hours of the time the accident occurred. Failure to properly conduct the test as required by Federal Regulations can negatively impact our authority to operate and solicit business. ·         View Dash Cam Events which may include fatality scenes.       Evaluates information received from callers and messages and then determines applicable set of procedures should be followed relative to the specific loss. ·         Contacts all designated on call examiners for advisement in the event of DOT accidents, severe cargo issues, driver injuries and other issues that may arise. ·         Updates on call examiners if there are changes from initial reporting such as transport for injury, trans load of cargo, etc. ·         E-mails updates on progress or conflicts regarding the accident to all internal parties involved. Monitor claim accident email chain for changes or further involvement needed such as cargo, trans loads, and hazardous spills that tower cannot clean up. Refers claims to appropriate internal departments (Cargo, Safety, Operations, Fleet Services). Instructs External Claims Adjusters on what data and/or documents need to be collected from the scene. ·         Document claim with all contact advisement, external services, and other pertinent information. Attach pics and other info (legal docs) to unassigned claims in PDF format, update claim accordingly including other damages noticed but not previously reported, forwarding pics to the claims examiner.·         Review requests received from shops regarding damaged equipment and determine if an accident claim is needed. If so, the coordinator creates the claim. Sends message to driver requesting call back about damaged equipment. Documents driver’s statement into claim comments.·         Set up GL claims as needed for damages to rental vehicles or company property when not involving company equipment.·         Set up accident claims per requests from Safety. Answers basic questions for USX drivers regarding claims issues. Uses USX tracking system to research alleged USX truck involvement in reported hit and run accidents. Informs all appropriate 3rd party agencies of all hazardous spills or road damage to initiate clean up. Assists USX drivers in locating an insured doctor and clinic if injuries are sustained. Assists Internal Claims Adjusters by developing the initial investigative file. ·         Reviews claims set up making corrections as needed.·         Create report client daily and send to supervisor for review as well as send DOT checklist for each DOT accident. Follows up on claim status and requests the appropriate documentation needed to finalize the claim. Collects and processes mail for the department and distributes to the appropriate areas within the company.
