COORDINATOR, MAINTENANCE SYSTEMS & VENDOR

What You’ll Do:
Supports the Maintenance group by assisting with software improvements, vendor coordination, and process enhancements. Key responsibilities include generating reports, managing email workflows, maintaining inventory accuracy, entering data into systems like Cetaris, and following up on work orders and POs. The position also involves attending meetings, engaging with customers, and contributing to cross-departmental projects
Be detailed and concise in the duties and expectations of the roleProvides support to the Maintenance group and collaborate with other departments.Assists in identifying and implementing software improvements.Supports and collaborates will all groups and departments as needed.Assists in coordinating with vendors for software support.Assists with generating reports for management.Supports maintenance software systems and assists with process improvements.Assists with vendor support and basic follow-up on work orders and PO’s.Maintain accuracy and participate in Corporate Ordering of all USX Shops inventories within maintenance system.Manage email workflows and ensure timely replies and resolutions to all requests.Supports assigned projects collaboratively across all departments as required.Enter final invoice cost and data within maintenance system PO and close for payment.Review all EDI exceptions for accuracy and adjust as necessary.Create weekly report for all Open PO’s to all Service Providers.Perform other duties as assigned.Collaborate in-person with all levels of the organization to harness collective intelligence of the workforce.Attend all in-person meetings and trainings on recent developments, goals, and objectives. Participate in such discussions by offering input and advice.Regularly engage remotely and in-person with customers and potential customers to establish rapport, open communication, and expectations.Perform other duties as assigned.
