Job Description We are excited to offer a unique opportunity within our growing Oncology division for a Coordinator to join our team. In this role, you will serve as a valued partner, providing essential administrative, financial, and project management support to the Head of Oncology, Canada, Business Unit Heads, and the commercial team driving our Oncology therapeutic area. Additionally, you will play a key role in maintaining business continuity to ensure the seamless operation of the department, while offering critical support to the sales force and cross-functional teams as needed. This position is based in Montreal (Saint-Laurent) and reports directly to the Head of Oncology, Canada. Key responsibilities: + Partner with the Head of Oncology and Business Unit Heads together with other key members of the team to effectively manage key business continuity items including strategic and cultural decisions. i.e: + Setting meeting objectives (collaboratively working to define clear and impactful objectives for our meetings to ensure productive and focused session) + Manage meeting logistics and planning (ensuring that all logistical aspects are efficiently managed to facilitate smooth and effective meetings) + General administrative support (providing necessary administrative support to help streamline processes and enhance team efficiency). + Build strong relationships and works collaboratively with internal stakeholders, to enable higher performance across the business unit. + Support working group members for sales meetings, advisory boards, brand teams. + Manage and prioritize the information flow from all internal and external customers. + Manage the budget following purchasing and requisition procedures for SAP and Icertis (i.e. payment requisition, purchase orders, etc.) + Create the development and processing of contracts. + Together with the team, ensure the compliance of projects follow the applicable AbbVie policies and procedures. + Coordinate new employee office set-ups and on-boarding, as needed. + Maintain an ongoing commitment to learning and personal development Qualifications Education / Experience required: + Diploma of College Studies (DEC) in Administration, Commerce or a related field. + Experience working as a coordinator, administrative assistant or equivalent role is an asset. + SAP understanding and working ability (Icertis preferred) is a plus. + Database management and support. + Knowledge of biotechnology / pharmaceutical industry is considered an asset. + Demonstrated ability to manage a large volume of tasks and priorities and operating with execution excellence. + Proficient with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, etc.) + AbbVie strives to provide a French working environment for its employees in Quebec. Although as part of its francization program has taken all reasonable steps to avoid imposing the following requirement, advanced amount of knowledge of English / Fluency in English is an essential requirement for the position of Coordinator including, but not limited to, for the following reasons: English speaking employees outside the province of Quebec.
