We are looking for Coordinator, Operations with a "can-do" attitude to assist our organization in managing the day-to-day operational activities. The role involves lot of co-ordination across all India locations and candidate will need to work with various teams, to execute various tasks in a shift-based role i.e., from 2 pm to 11 pm (IST) as a primary shift but should be open to rotational work hours based on the job requirement. An ideal candidate for this role should demonstrate exceptional organizational abilities, good interpersonal skills, multi-tasking skills, excellent time management and should be able to drive tasks end to end. This position requires exceptional problem solving and interpersonal skills and the ability to acquire knowledge of transportation operations, policies, and procedures.
The day-to-day responsibilities include but are not limited to:
Transportation, Safety & Security Services:
· Working on our Transport Management System (TMS) daily that involves collating all transport requests PAN India and work on required allocation.
· Co-ordinate with vendors in all locations to ensure the drops/ pickups are arranged in a timely manner.
· Follow up with vendor to receive daily driver and vehicle details on time and upload them on our TMS Portal.
· Ensure all women safety and compliance guidelines are adhered to at all locations for female employees’ night drops/ pick-ups.
· Attending to all adhoc transport requests and actioning on them.
· Collate and share daily/ weekly transport and escorts data.
· Maintain monthly register details from all women security guards at PAN India locations for female employees travelling during night shift hours.
· Other general transport-related activities that would be assigned on an ongoing basis.
Employee Benefit – Snacks Services:
· Co-ordination with the identified internal spocs and vendors for daily snacks numbers at PAN India Locations.
· Ensure smooth functioning daily.
Vendor Management:
· Maintain a record of all vendor data including driver, vehicle KYCs, vendor documents and update them on our internal repository on a recurring basis.
Adhoc Tasks:
· To support in relation to the basic daily administrative tasks and updating internal daily systems (TMS, Snacks Portal, iOffice, Internal Repository, etc.)
· Assist with administrative, operational, analytical, project management activities, communication and change activities in the special projects when assigned.
· Participate in the implementation of administrative standards, policies, and practices for the organization.
· Maintain all data reports on our internal repository on a monthly basis.
· Deal with ad-hoc queries that may arise within the team.
Requirements:
· Bachelor’s degree in a related field from an accredited college or university.
· Prior 2-3 years’ experience in transport, administration, facilities, or operations required.
· Good proficiency in Microsoft Office (Excel, PowerPoint, Word etc.).
· Excellent scheduling, planning and vendor co-ordination abilities.
· Excellent data management and reporting skills.
· Ability to manage confidential and sensitive information.
· Excellent Administrative verbal/ writing and reporting skills.
· Ability to support projects with minimal guidance within defined timelines.
· Ability to effectively present information and respond to queries.
· Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
