POSITION SUMMARY:
The Coordinator, Sales under the guidance and supervision of the Director, Sales supports the sales team by handling administrative tasks, assisting with sales activities, and ensuring smooth communication between clients, the sales department, and other business units. This role plays a key part in driving revenue through efficient coordination, follow-up, and guest service.
PRIMARY RESPONSIBILITIES:
1. Assists the sales team in preparing proposals, contracts, rate agreements, and other client documents.
2. Responds to inquiries from corporate accounts, travel agents, event/meeting planners and walk-in clients.
3. Maintains and updates the sales database, client flies and contact lists.
4. Encodes group inquiries in the hotel system.
5. Coordinates with other business units to ensure all guest requirements are met.
6. Supports in organizing site inspections, familiarization trips, and client events.
7. Prepares daily, weekly, and monthly sales reports.
8. Monitors and tracks booking details, cancellations, and amendments.
9. Follows up on leads and maintains relationships with clients.
10. Assists in marketing initiatives and sales collateral preparation.
11. Handles billing arrangements and assists in payment follow-ups.
12. Assists in organizing sales blitzes and other sales activities.
13. Performs other tasks/duties as required by the Associate Director, Sales.
KEY PERFORMANCE INDICATORS:
Individual Level:
• Timely response to sales inquiries.
• Submission of proposals and rate agreements within standard turn-around time.
• Efficient leads monitoring/follow through, and accurate updating of sales reports.
HR Mandated:

• Participation in at least two (2) corporate social responsibility activities and/or employee engagement activities in a year.
QUALIFICATIONS:
I. Experience
1. Sales experience in a five-star hotel is an advantage.
II. Education
College graduate in a reputable university.
III. Skills / Competencies
1. Excellent in written and oral English.
2. Proficient in Opera; Knowledge in Delphi is an advantage.
3. Ability to communicate effectively with clients at all levels both internally & externally.
4. Strong organizational and multi-tasking skills with attention to details.
