Coordinator, Signature Events - Office of Advancement

The Coordinator, Signature Events is responsible for managing registration and attendance tracking for Advancement events which support the alumni engagement, development, and campaign goals established by the university. This position works directly with the Director of Signature Events to evaluate the effectiveness of registration processes in supporting the overall goals of each event. The Special Events Coordinator also manages the preparation of event materials (such as name tags and event supplies), processes payments, and assists the event lead in reconciling income and coordinating other elements of the event. Serving as the first point of contact for all event inquiries from alumni and donors, additional duties include, but are not limited to:

Evaluate, develop, and manage effective processes for tracking attendance for various Advancement events, building event registration databases and creating appropriate registration forms.

Enter attendee information in the registration database, creating and proofing all attendee reports for accuracy.

Assemble name tags and attendee packets, processing all event payment information (before, during and after the event) and managing the registration process on-site during each event.

Provide on-site management of events and post-event evaluation to make suggestions for future programs.

Assist in planning and executing alumni and donor engagement events, coordinating with internal and external vendors on logistical needs for programs (including site and menu selection, vendor contracts, entertainment needs, audio-visual, and printed materials).

Ensure courteous, accurate, and timely responses to inquiries--in person, by phone, and via e-mail--from internal and external constituents.  

Work Interactions

The Coordinator, Signature Events serves as a member of the Office of Advancement Special Events team, reporting to the Director of Signature Events. This position interacts with Advancement and university colleagues to support the planning and execution of a variety of events. In managing the registration process for events, the Special Events Coordinator oversees Advancement event volunteers and serves as the first point of contact for many alumni and donors. These Interactions are an important component of building and maintaining positive constituent relationships and the overall success of the event experience.

Requirements and Qualifications

Bachelor’s Degree

2-3 years of experience required or equivalent combination of education and work experience

Possesses exceptional organizational and time management skills as well as superb attention to detail

Ability to concurrently balance multiple, high priorities

Excellent communication and customer service skills with a mission-driven mindset

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$20.16 - $31.30

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
