Job Description:
Represents UTMB in an academic program area in the recruitment of students for graduate and medical education throughout the state and nationally. Liaisons and assists with the admissions processes as needed within the program area.
Job Duties:
Provide coordination for the Admissions and Recruitment area within the Office of Student Affairs & Admissions by supporting the planning and implementation of all Admissions and Recruitment Programming (i.e., White Coat Ceremony, Orientation, Interview Day, Campus Preview Days) via administrative tasks as needed, including but not limited to event planning, schedule coordination, program creation, applicant scheduling, and recordkeeping. Utilize TMDSAS (Texas Medical and Dental Schools Application Service) and Zap Solutions’ AMP Software daily to verify incoming applications, manage applicant’s statuses, assign to admissions committee members accordingly, as well as field prospect and applicant inquiries. Utilize Microsoft Office 365 products (e.g., Excel, Teams, Bookings, and Forms), Zoom, Social Media, and other innovative technologies to perform job tasks . Provide administrative support to the Admission's Committee via recordkeeping, scheduling, and document creation. Serve as an essential member for student recruitment planning, including but not limited to: SOM MD Interview Day, Campus Preview Day, Spring Peek, and Student Ambassador Program. Serve as an essential member of the orientation and white coat planning team. Manage and maintain admitted students' matriculation requirements (i.e., backgrounds, perquisites, institutional forms). May serve as the UTMB Joint Admissions Medical Program Coordinator . Provide customer service and basic information regarding the SOM MD Programs by phone and email. Receive incoming calls, answer routine inquiries, and route calls to others as appropriate. Process office travel, reimbursements, and financial expenditures in collaboration with SOM Administrators and Academic Enterprise Service Center (AESC) as needed. Provide backup frontline administrative support to other areas within the Office of Student Affairs & Admissions as needed (i.e., Student Affairs, Career Advising, Academic Support & Career Counseling). Adheres to internal controls and reporting structure. Performs related duties as required. Provides other departmental administrative support as directed.Salary Range:
