The Coordinator, Talent Management will serve an important role on the Talent Management team by managing and providing support for vital operations related to the administration and communication of Talent Management’s functions. The Talent Management team manages initiatives and provides thought leadership and partnership in the areas of recruiting, hiring, inclusivity, organizational design, professional and career development, onboarding, staff engagement and retention, department communications, and workforce analytics to support a safe, inclusive, and high-performing culture. Together, the Talent Management team plays a critical role in supporting and facilitating the personnel growth and evolution of the Office of Advancement needed to achieve fundraising goals and growth for the remainder of this $3B campaign and beyond. Additional duties include, but are not limited to:

GMS/Workday Administration & Reporting

Support the Talent Management team, and liaise with various stakeholders (University HR, finance, COO) to submit all GMS transactions for promotions, salary adjustments, new positions, and replacements in a timely fashion when coverage and additional support are needed.

Escalate bottlenecks and identify efficiencies in the submission and approval process as needed, tracking status and timing of the requisitions and coverage items submitted.

Submit transactions in GMS for incoming New Hires (including moving them through the background stage), and one-time payments.

Support functions related to service-oriented communication, including providing updates to hiring managers and requestors of promotions, salary adjustments, new positions, new hires, and replacements as needed.

Serve as a the Office of Advancement’s primary point of contact for GMS inquiries as well as the University Human Resources contact for the Office of Advancement, which includes access to GMS to submit necessary transactions.

Identify the data and reports from GMS that Talent Management should be analyzing and reporting on regularly, providing analysis and summaries of insights from GMS data to the TM team and Executive Team as needed

Communications, Announcements, & Student Hiring

Manage and distribute talent related communications sent to all advancement (new hires, promotions and departures for Moves announcements, closures, early dismissals, collation of information for and distribution of department newsletters).

Create, manage and draft content for a new Talent Management newsletter in collaboration with OA’s Communications team.

Manage all student hiring for Advancement, submitting all SUA (Sponsored University Associate) requests.

Work with hiring managers to make sure they understand the process, provide the necessary information and forms, and submit the hire and additional job transactions in GMS.

Work with the Student Employment Office when needed to transfer student positions and troubleshoot.


Administrative Support

Work closely with University HR to triage and resolve issues related to payroll of OA employees, providing timely communication, accurate information, and updates to OA employees.

Review Talent Management operating budget(s), paying close attention to expenditures and regularly updating Executive Partner of budget status.

Manage Advancement’s centralized Professional Development fund and related communications, reconciling and submitting expense reports in GMS for Talent Management team members.

Prepares materials for Talent Management team meetings, presentations, and trainings, producing meeting minutes and summaries.

Support team in an administrative capacity (scheduling meetings, pre-meeting logistics, lunch ordering and set-up, email communication, room reservations, manage SurveyMonkey and Zoom accounts, and other ad hoc requests).

Provide support in managing the paperwork for and requirements of University HR policies and procedures, supporting calendar management of Executive Partner, Talent Management as needed.

Provide support for Talent Management’s onboarding program – including OA Orientation set-up, managing all onboarding communication with incoming new hires, drafting their onboarding schedules, and scheduling trainings.

Draft and send written offer letters and support the hiring process for all candidates, scheduling candidate phone screens and conducting interviews as needed.

TM Project Management Support and Other Duties as Assigned

Work with the Executive Partner to create, distribute, analyze and create reports for OA’s engagement survey.

Perform various other projects and duties related to talent management strategic priorities or these responsibilities as needed and as identified by the Coordinator or Executive Partner.

It is expected that all Office of Advancement staff members within a one-hour drive of campus/DMV will work at least two shifts each fiscal year at designated signature events (ex: Homecoming, Main Campus Reunion, Women’s Forum/Black Alumni Summit, Lombardi Women) and, that at least one of these shifts be an evening or weekend shift.

Work Interactions

The Associate Partner will work closely with and report to the Executive Partner, Talent Management. They will also work with six other members of the Talent Management team, staff of all levels within the Office of Advancement, campus partners such as University Information Services, Human Resources, suppliers and vendors, graduate assistants, and student workers.

Requirements and Qualifications

A bachelor’s degree or equivalent combination of education and work experience

Minimum 0-2 years of experience or equivalent training and/or internship experience

Interest in a career in higher education and/or Talent Management/Human Resources

Strong computer skills, including high working knowledge of Microsoft Word, Excel, Google’s suite of tools

Demonstrated analytical and reporting skills; i.e. the ability to manipulate and analyze data to create reports and leverage these to provide data-informed insights

Broad knowledge of and experience in the use of research materials, including the Internet and online informational databases

Ability to work efficiently and effectively, under tight deadlines, and to manage and prioritize multiple projects and deadlines at once

Strong problem-solving abilities and the ability to exercise independent judgment as appropriate

Attention to detail and highly developed interpersonal, written, and verbal communication skills

A flexible team player, able to maintain confidentiality, exercise tact, resolve issues, and exercise careful judgment and discretion

Comfort with ambiguity, ability to work independently and autonomously, and experience developing personal organization tactics to meet business goals

Work Mode Designation

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$20.16 - $31.30

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
