**Position Description:**
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

**Major/Essential Functions:**
**1. CFAS Business Operations:**
**Daily**
+ Greet visitors, answer requests, manage phone calls for CFAS admin office
+ Assist undergraduate and graduate students and faculty as needed.
**Monthly**
+ Process work order requests, key requests, custodial requests, and technology requests as needed.
+ Providing business support for Graduate Programs and Undergraduate Programs
+ P-card reconciliation and posting of all cards for department.
**Annually**
+ Property Inventory – maintain current files of surplus and inventory equipment for CFAS and collect information from the CSAR Business Manager.
+ Space Survey – as needed. Assign Desks for Graduate Students in the student room each Fall/Spring semester.
+ Maintain email distribution lists
+ Maintain emergency contact information for the department
+ Department Co- Emergency Action Coordinator
**2. Support Graduate and Undergrad Programs including Faculty:**
+ Assist with various administrative tasks and financial record keeping supporting the Graduate programs
+ Manage Class Schedules – schedules all CFAS courses; Graduate Courses and Undergraduate courses
+ Travel Preparer for CFAS Department faculty and students. Coordinate and submit travel applications and reimbursement as needed. Process travel pre-approvals, expense and advance reports. Prepare allocation report to provide to Business Manager.
+ Organize and process all ePaf transactions for all graduate and undergraduate employees each semester. Works closely with CFAS Business Manager on all ePaf transactions.
+ Serve as a graduate student advisor with degree plans and course schedules, registration errors, and permits as needed.
+ Primary support staff for CMFT graduate programs.
+ Maintains confidential documentation such as student files/records for accreditation and CMFT licensure by the State of Texas.
+ Works closely with PhD and MS Program Directors to coordinate schedules for recruitment interview days. Updates all recruitment materials and keeps CMFT website up to date. Provides assistance in collecting and processing all graduate student applications.
+ Coordinates Orientations for PhD and MS CMFT Programs.
+ Provides onboarding for students and guides them through their degree plans.
+ Process special fees for Fall/Spring semester for CMFT Program
+ Coordinate data collection: exit surveys, alumni surveys for accreditation and academic program improvement and retention.
+ Primary support staff for ADRS Graduate program.
+ Maintain all documentation of student files/records.
+ Work closely with the Program Director to onboard students and guide them through their degree plans.
+ Coordinate Orientation for PhD ADRS Program.
**3. Course Scheduling/Special Instruction Fees – Fall/Spring Semesters:**
+ Process Special Instruction Fees for Fall and Spring semesters for the CMFT graduate program and ADRS 2125.
+ Schedule teaching assignments each semester with each all Program Directors
Coordinate, schedule and maintain lists of classrooms and classes for undergraduate and graduate courses, which includes listing instructors, times, days and room assignments
