ER Coordinators

DESCRIPTION:   Responsible for overseeing all functions of the ED Admissions Department staff to ensure patient safety and satisfaction as it relates to registration and admission, and to optimize the facility’s financial performance. Position performs a full range of assignments under the supervision of the Director. Applicant must demonstrates knowledge and skills to appropriately communicate and interact with the employees, patients, families, and visitors of all age groups while being sensitive to their personal health information. Employee must demonstrates reliable attendance and professional behavior. Applicant is responsible for enforcing health care policies, managing scheduling, and addressing patient concerns. Incumbent will be responsible for insuring the accuracy of all data collected in the admissions process.

Minimum Requirements:  Proven leadership experience; advanced Admission Clerical experience or other related work experience; Past experience with health care insurance payers. Open compassionate communication skills, advanced knowledge of health insurance, efficient work processes and understanding of health care billing practices, understanding of front to back end errors and the cause and effect.        

 

JOB SPECIFIC DUTIES:

AM & PM Coordinator Shared Daily Duties

Oversee a staff of registration clerks Be on call support for all ER employees on all shifts. When shorthanded, work uncovered shift(s) on your AM/PM Shift as well as your weekend shift. Keep screen up and monitor to make sure patient flow and work flow is expeditious in department. Step in and help out when busy peak occurs. Review all admits charts – Correct locations, correct patient/field info, insurance active, physician there, etc.  Make any necessary corrections if needed and review with employee. Email insurance corrections to UR and review with employee. Outpatient charts – Paper work signed correctly, correct patient/field info, insurance active, orders correct. Make any necessary corrections if needed and review with employee. Work Incomplete Registration Reports and Revenue Cycle worklist Review/Respond to emails Check with UR (Gayla) on corrections needed. Send patient info via email on all VA patients. Make ER Deposit Make sure all paperwork is scanned in daily by clerks Verify Lab Specs are up to date

AM & PM Coordinator Shared Weekly Duties:

Check in with the ER Charge Nurse and Nursing Educator and Bridgett Burnham (for admits) each week/bi-week to address if there are any praises, complaints, etc. Between ER medical staff and ER Admissions.  Council staff weekly about any errors or concerns that pertain to their registration work. Time and  Attendance Schedules for all staff input in API

AM & PM Coordinator Shared Misc. Duties

Finish training process of new employees once released from Trainer Review complaints or questions that any staff may have Daily and Monthly reporting on Errors and Work flow Random monitoring and pop ins to make sure all staff is well behaved, being professional and performing job duties Create the Monthly reports from Clerical and ER PM person - Order supplies for ER Help solve issues brought to your attention Complete API ETO requests Make sure the Quality Champion person is sending in the survey and/or attending the required meetings Complete yearly Employee Evaluations Verify staff is complying with all rules and regulations and complete disciplinary actions Prepare staff for “Disaster”. Managing staff is required to work “disaster”. Show superb leadership skill to lead a cohesive, successful team Any other task/duties as assigned by Director Perform audits on all employees at random to ensure accurate procedures and workflows are being performed Provide feedback to the trainer on Admission struggles Ensure all signs and forms are up to date throughout Department
