Coordinator - Freight Expense Compliance

POSITION TITLE:  Coordinator – Freight Expense Compliance

REPORTS TO:  Manager – Vendor Compliance & Enablement

 

POSITION SUMMARY:  As a Coordinator – Freight Expense Compliance at AEO, Inc., you will be a key member of the Operational Compliance team and provide support and validation of $100+ million in annual freight payments. You will be responsible for assessing and optimizing auditing processes that drive efficiency to meet AEO’s contractual goals while reducing risk and improving compliance across the entire supplier base. 

 

RESPONSIBILITIES INCLUDE

Review, monitor and process daily freight cost payment volume, ensuring funding is effected by the due date to meet the contractual obligation of individual supplier contracts.  Resolve all supplier billing / data issues timely by working with all required parties to achieve accurate, consistent data between the agreed to contract and billing.  Proactively resolve billing issues and ensure supplier statement of accounts reflect no aging. Identify repeated issues of non-compliance to drive performance improvement leading to a friction free process and reduction in invoice related discrepancy delays. Communicate pertinent issues to the Manager and internal logistics partners. Maintain accurate freight rates for all suppliers and lanes to ensure accurate billing. Work across multiple payment systems to ensure that both merchandise and non-merchandise freight is accurately and timely funded.  Work with AEO Treasury and Accounting to ensure that funding instructions are accurate, streamlined and encompass all needs for seamless funding of freight payments.  Identify process improvement needs; work closely with the Manager to support the execution of enhancements. Understand key performance metrics and confirm that data portrays an accurate picture of the status of current and outstanding payables to identify lags in the process for additional supplier coaching as needed.  Be agile in decision-making, considering risk mitigation while collaborating with Accounting and Treasury to ensure positive cash flow management.  Actively participate in the onboarding of new suppliers, provide training on all freight cost related processes to encourage compliance to maintain an efficient standard process and communicate any outliers to AEO logistics teams.  Maintain and create all internal and external SOPs for freight related processes, updating as needed but no less than two times per year. Additional responsibilities and projects as assigned.

 

QUALIFICATIONS:

Bachelor’s Degree in Business Administration, Supply Chain/Logistics or related field or an equivalent combination of education and experience 1-2 years experience in supply chain accounting operations; analytics Strong analytical, problem-solving skills; ability to identify trends within large data sets and make recommendations based on analysis  Excellent verbal and written communication skills; demonstrated ability to explain required processes and problems to internal and external partners to arrive at workable solutions  Self-motivated and driven; ability to keep pace a fast and deadline-oriented industry/working environment
