General Summary:

Under limited supervision, the coordinator supports the Operations Administration team by performing a wide variety of coordinator functions, such as organizing and maintaining documents, data entry, research, coordinating activities, communicating necessary information, and performing file and data audits for complete details and timely submission. The coordinator also ensures policy adherence to established processes and procedures.

Coordinates Operations projects and acts as a liaison with other DART departments. Tracks open audit tasks and findings, operations data and statistics, and creates reports for Executive review. Creates and reviews project-related documents and correspondence for Operations teams. Edits reports, presentations, and correspondence as needed. Works within Operations Departments to find recognition opportunities and help tell our story.

Essential Duties and Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs administrative duties supporting various initiatives by assisting with documents, special research/data compilation projects, and coordinating processes and events.Monitors Operations' compliance with audit findings. Tracks audit findings and progress from start to closeout. Upon closeout, ensure Operations complies with DART policies, procedures, specifications, and approved practices.Review agenda reports, presentations, and various documents within the Operations Departments, checking for completeness before Executive review.  Maintain the review process and feedback loop for all documents.Maintains Operations' action item timelines and tracks department submissions.Assists with the development of materials for various Board and Executive staff presentations.Captures Operations data and prepares a variety of reports for management review.Creates Operations correspondence and internal messages, including the Friday Message. Networks within the Agency and with Communications are needed to find employees to recognize.Acts as a resource and liaison between Operations and various departments within DART.Coordinates project activities.  Maintains project records and logs. Performs other related duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

Note: An equivalent combination of related education and experience may be substituted for the minimums below, excluding a High School Diploma, GED, Licenses, or Certifications.

Associate degree from an accredited college or university in Business Administration, Finance, Information Systems, or a related field.Two (2) years of experience in an administrative position/internship, coordinating projects, or related environment.Pass a physical (medical) examination that includes a drug screen to operate DART non-revenue vehicles.Proficiency in PC software applications, including Microsoft Office and other related software applications.Understands the public transit customer experience.Analytical and creative skills to solve complex interpersonal, technical, and administrative problems.Ability to demonstrate a fiduciary obligation to section, division, department, and DART in handling materials and information of a confidential nature.Ability to figure out the processes necessary to accomplish tasks; facilitate effective brainstorming and build consensus among team members; orchestrate multiple activities simultaneously to achieve a goal; use resources effectively and efficiently.Ability to be dedicated to meeting the expectations and requirements of internal and external customers.  Gets first-hand customer information and uses it for improvements in products and services.  Acts with customers in mind.  Establishes and maintains effective relationships with customers and gains their trust and respect. Ability to marshal resources (people, funding, material, support) to get things done.  Can orchestrate multiple activities at once to accomplish a goal.  Uses resources effectively and efficiently.  Helpfully arrange information and files. Ability to use their time effectively and efficiently.  Values time.  Concentrates their efforts on the more important priorities.  Gets more done in less time than others.  Can attend to a broader range of activities. Ability to enjoy working hard.  Is action-oriented and full of energy for the things they see as challenging.  Not fearful of acting with a minimum of planning.  Seizes more opportunities than others. Ability to use rigorous logic and methods to solve complex problems with practical solutions.  Is excellent at honest analysis.  Looks beyond the obvious and does not stop at the first answers. WORKING CONDITIONS

Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming the incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
