Description
Under the direction and oversite of the Executive Assistant, this position supports various activities and is responsible for providing administrative support for the Corporate office.
ESSENTIAL DUTIES:
+ Support V-level management with travel accommodations, calendar management and expense reporting.
+ Coordinate and ensure smooth operation of the corporate mail room, reception kiosk, and cafeteria. This will involve working with specific departments and/or venders ensuring all equipment is operational, maintenance is scheduled, operational schedules are maintained, areas are maintained in a professional and organized manner, and all necessary supplies are ordered and maintained.
+ Manage Vender Relationships for facilities/meeting management – set up, scheduling, catering, curation, etc. for corporate and operation events.
+ Maintain and record building key box system.
+ UPS administration which includes but is not limited to the set up and deletion of access and small- or large-scale shipments and mailings.
+ Perform administrative tasks as it relates to facilities management such as, organizing, contracting, vendor payment, problem resolution and communication for fire extinguisher inspections, sprinkler inspections, building repairs and routine maintenance, lawn, landscape, snow removal, geese control, and building cleaning services.
+ Perform duties related to building access card administration and distribution of alarm codes.
+ Review and process invoices for payments to include but not limited to building utilities, grounds maintenance, Spectrum, FedEx, UPS.
+ Organize, monitor, order and provide appropriate payment for all office supplies, business cards, cafeteria/break room supplies, mail supplies, etc.
ADDITIONAL DUTIES:
+ Write emails, letters and other communications as directed.
+ Create organizational charts as needed.
+ Greet and direct office visitors.
+ Serve on employee and community committees as requested.
+ Completes special projects other duties as assigned.
REQUIRED QUALIFICATIONS:
+ High School diploma or GED.
+ Minimum of one to three years of experience in an office environment.
+ Demonstrated verbal and written communication skills.
TECHNOLOGY, EQUIPMENT & TOOLS:
+ Proficient with standard office equipment i.e., computer, phones, scanner, fax, copier, and postage and mail equipment.
+ Proficiency with the Microsoft Office Suite.
KNOWLEDGE, SKILLS & ABILITIES:
+ Ability to work independently with guided supervision.
+ Ability to multi-task.
+ Excellent organization skills and attention to detail.
+ Ability to work collaboratively with all enterprise teams and leaders.
+ Ability to complete assignments and maintain composure while working in a busy environment with multiple competing priorities.
+ Adaptability/ability to pivot
+ Attention to detail and strong proof-reading skills.

The noise level in the work environment is usually moderate.
COMPENSATION: $20.50 - $25.00/hour
