Corporate Affairs
Core focus: APAC Event Management, planning and executing an international calendar of high visibility internal and external events, sponsored conferences, hospitality and third-party events. This role is open to candidates who are currently based in Hong Kong/ Singapore
Event planning efforts for in-person and hybrid events across APAC from request, through execution and post event reporting. Work across all APAC offices and business units
Strategy – bi-annual meetings with regional business heads to review strategic planning and feedback of all events. Responsible for presenting APAC strategy into the US
Branded merchandise and gifting – work with team specialist to support branded merchandising and corporate gifting across the APAC region
Reporting – in-depth budget reporting for each business including qualitative and quantitative detail.
Financial Controls – responsible for building and adhering to accurate and thorough budgets
Leadership – provide oversight and team leadership as the primary point of contact for onsite staff, temporary contractors and junior planners who are staffed on project
Vendor procurement and management – including sourcing, contract negotiation, onboarding and managing vendor service levels.
Understanding and adherence to regional compliance and regulatory requirements
Venue selection and management – should provide excellent, regional venue knowledge and be ultimately responsible for relationship between Blackstone and the venue to ensure a successful event.
In-depth knowledge of full production process and leading technology and audio-visual requirements
Exceptional on-site execution, staffing and vendor management – accountable for overall success of the event
Event closing – provide stakeholders with reconciled budget, schedule post conference debrief / surveys and generate initial and final feedback for potential rescheduling
Business Unit Relationship Management – responsible for APAC businesses lines as the primary point of contact for annual event strategy including budgets.
Qualifications:
10+ years’ experience in international event planning and management, specifically in Hong Kong and/or Singapore, within a fast-paced global corporate organisation.
Ability to work independently, as well as in teams, and take initiative with all aspects of an assignment
Strong APAC venue and vendor knowledge
Proven track record of developing business relationships at all levels both internal and external, from Partners to PA’s.
Personal integrity, cultural sensitivity, initiative, leadership qualities and the ability to work as part of a global team in an environment that demands excellence, time and energy
Estimated 20 - 25% travel commitment (regional and international)
Strong negotiating/commercial/entrepreneurial skills
Strong event management skills with impeccable attention to detail
Effective communication skills with proven ability to build and maintain relationships
Strong organizational skills with the ability to manage multiple responsibilities and events while maintaining high quality standards
Ability to adapt style as the situation requires
Skills:
Proficiency in Japanese/ Mandarin/ Cantonese is preferred
In depth and hands-on experience working with Cvent Project Management and event registration platform(s).
Strong skills in Microsoft office software to include Excel, Word, PowerPoint, etc.
