Corporate Services Coordinator

As a Corporate Services Coordinator and member of the Global Corporate Services team at Tricentis, you will be responsible for creating an exceptional workplace environment for the office – one that supports our collaborative and diverse culture of innovation as we oversee the daily operations of our offices around the world.

As the first point-of-contact and primary resource for corporate services and office support needs, you will ensure our office is well maintained, safe and provides a fun and productive experience for the team.  We are looking for an energetic candidate who is highly organized, responsive and equipped to collaborate effectively with many different people including office employees, senior leadership, contractors and visitors.  You will wear multiple hats as you coordinate and facilitate the daily operations of the office, and will have responsibilities that touch multiple business units – Office Support, Finance, Human Resources, and IT.

 Essential Functions and Responsibilities:

Handle day-to-day tasks to keep your office running efficientlyGreet employees, customers, and visitors in a professional and courteous mannerProvide world-class customer service to our staff for all office and facility needsManage schedules for conference rooms and office spacesCoordinate all in-office functions such as space and seat planning, shipping/receiving, mail services and special events/cateringSubmit work orders and schedule repairs for general office space and equipment to address issuesAssist with event planning, meeting logistics, and social activities, and aid with arranging catering related to those meetingsAssist with new hire onboarding and provide guidance navigating the travel management system booking processMaintain locality knowledge related to event/meeting venues, restaurants, and service vendorsManage incoming and outgoing correspondence, including mail and packagesProvide guidance and support for technical requests, ensuring they are directed to the appropriate departments when neededUnder the supervision of others, coordinate completion and delivery of necessary compliance documentation to relevant departments, agencies, and institutionsLiaise with landlord and property management team on regular basis ensuring landlord-provided services such as cleaning, building maintenance meet our needs and expectationsManage service contractors for the office for scheduled equipment maintenanceManage office security including badging and access controlSupport asset control needs and monitor IT assets locally for new hires and existing employeesFollow security and emergency procedures as defined for the office/property.  Respond to emergency situations in a calm, efficient mannerProvide assistance to the Finance and HR teams, as neededOrder and maintain office and kitchen/breakroom suppliesPerform other duties as assigned by the Global Corporate Services leadership team

Qualifications

Understanding of MS Office SuiteGeneral experience with finance and budget managementIndependent worker/thinker who can prioritize tasks to meet deadlines in a fast-paced, quickly changing environmentA skilled communicator, able to work across several departments, with professional level verbal and written communication and time management skillsDemonstrate a high level of attention to detail as well as strong interpersonal skillsHave a positive attitude and a strong sense of urgency in resolving any issues that may arise
